Instead of juggling multiple host portals and email chains, you get a centralized dashboard designed specifically for managing tasks across all the properties you service. Connect with hosts seamlessly, automate task creation from booking confirmations, and give your team a single place to see their schedule.
Getting started
Setting up your workspace
- Create your service provider account — Sign up at vanio.ai and select "Service Provider" during onboarding
- Complete your profile — Add your company name, services offered, and team size
- Set up your service catalog — Go to Settings → Services to define what you offer (cleaning, maintenance, inspections) with pricing and estimated durations
- Add your team — Go to Team → Invite Members to add cleaners, maintenance staff, and coordinators with role-based access

Connecting with hosts
- Get your connection code — Go to Connections → Host Network to find your unique workspace code
- Share with hosts — Send your code to property managers who want to assign you tasks
- Accept invitations — When hosts send connection requests, approve them from your Connections dashboard
- Configure access — Choose which of their properties you'll service and what types of tasks you'll handle
Email-to-task automation
- Find your unique email — Go to Settings → Email Integration to see your custom Vanio email address (like
[email protected]) - Set up forwarding — Add this address to your email filters or ask hosts to CC it on booking confirmations
- Configure automation — Set rules for how Vanio should create tasks from different email types
- Test it — Forward a sample booking email to see how tasks are automatically created
