Switching to Vanio doesn't require throwing away your existing systems or disrupting your operations. You can start using Vanio alongside your current tools and gradually adopt features at your own pace.
What This Means for You
Vanio is designed to work with what you already have. Instead of forcing a complete system overhaul, you can connect your existing booking channels, test features on a single property, and expand gradually. Your guests won't notice any disruption, and you maintain full control over the transition timeline.
Getting Started — Three Simple Steps
Step 1: Connect Your Channels
- Go to Settings → Channels in your Vanio dashboard
- Click Connect Channel and select Airbnb or Booking.com
- Choose Read-Only Mode to start — this imports your reservations and messages without changing anything
- Authorize the connection through your channel's standard process
What happens: Vanio immediately starts importing your existing reservations, guest information, and message history. This typically takes 5-15 minutes depending on how many properties you have.

Step 2: Test AI Messaging
- In Settings → AI, toggle on Shadow Mode
- Add Vanio as a co-host on your Airbnb account (you'll get prompted with instructions)
- When guests message you, Vanio will draft responses but won't send them automatically
- Review and edit the drafts in your Messages tab before sending
What you'll see: Guest messages appear in Vanio with AI-drafted responses ready for your review. The drafts learn from your property details, house rules, and previous messages.

Step 3: Expand Gradually
Once you're comfortable with how Vanio handles your first property:
- Go to Properties and click Add Property for your next rental
- Enable additional features like cleaning task management or smart lock integration
- Switch from Shadow Mode to full automation when you're ready

From Traditional Property Management Systems
If you're currently using Guesty, Hostaway, or Lodgify:
- Week 1: Connect channels in read-only mode, test AI messaging

From Multiple Standalone Tools
If you're using separate tools like Turno, RemoteLock, and Hospitable:

What Gets Imported Automatically
Reservations: All current and future bookings from connected channels sync automatically. Past reservations from the last 12 months are imported for context.
Guest Information: Names, contact details, and booking history build up over time. Vanio learns guest preferences and communication patterns.
Messages: Recent message threads are imported so AI responses have context about ongoing conversations.
Property Details: You'll add these to your knowledge base manually, but you can copy-paste from existing house rules or listing descriptions.

Tips for a Smooth Transition
Start with your easiest property — Choose one with clear house rules and standard guest interactions rather than a complex property with unique requirements.
Populate your knowledge base early — The more details you add about check-in procedures, house rules, and local recommendations, the better your AI responses become.
Review drafts for the first week — This helps you understand how the AI interprets your property information and gives you a chance to make adjustments.
Set up cleaning tasks before peak season — If you have regular turnover, getting your cleaning crew familiar with the task system during slower periods makes busy times much smoother.
Common Questions
Do I need to change anything on Airbnb or Booking.com? Only when you're ready. Initially, you just connect in read-only mode. Later, you'll add Vanio as a co-host on Airbnb, which takes about 2 minutes and doesn't affect your listing visibility or performance.
What if I don't like how the AI responds to guests? Shadow Mode is designed for this — you see every draft before it goes out. You can edit responses, and the AI learns from your corrections. Most property managers find the responses get noticeably better within a few days.
Can I switch back if Vanio doesn't work for me? Absolutely. Since Vanio works alongside your existing systems initially, you can disconnect at any time. Your channel accounts remain unchanged, and you haven't lost any data or functionality.
