What it does

Vanio AI transforms your property management experience by letting you handle everything through natural conversation instead of clicking through menus. Simply ask questions like "How's my revenue this month?" or "Show me today's check-ins" and get instant answers with interactive charts, guest details, and actionable insights right in the chat. Your conversations are automatically saved and searchable, so you can quickly reference past questions without starting over.

Getting started

Switching to AI mode

  1. Find the toggle — Look for the "AI Assistant" toggle in your dashboard header [Screenshot: Dashboard header showing AI Assistant toggle switch]

  2. Enable AI mode — Click the toggle to switch from traditional navigation to conversational AI

    • The interface transforms into a clean chat window
    • Your sidebar collapses to give the AI assistant full focus
    • A welcome message appears with suggested questions
  3. Start chatting — Type your first question in the message box at the bottom

    • Try: "What's happening today?" or "Show me this week's revenue"
    • Press Enter or click the send button

Your first conversation

Ask natural questions — Speak to Vanio AI like you would a human assistant:

  • "How many guests are checking in tomorrow?"
  • "Which properties need attention?"
  • "Show me unread messages from Airbnb"
  • "What's my occupancy rate this month?"

Get rich responses — Instead of plain text, you'll receive:

  • Interactive cards showing guest details and property information
  • Revenue charts with breakdowns by property and platform
  • Clickable reservation summaries
  • Message previews with quick reply options

How it works

Automatic understanding

Vanio AI automatically understands what you're asking for and routes your question to the right data sources. When you ask about revenue, it pulls financial data. When you mention messages, it checks your inbox across all platforms. You don't need to learn special commands or navigate to specific sections.

Smart model selection

The system automatically chooses the best AI model for your question:

  • Simple lookups ("Show today's check-ins") use our fastest model for instant responses
  • Complex analysis ("Which properties are underperforming?") use our most capable model for deeper insights
  • You can manually override this in Settings → AI Preferences if needed

Conversation memory

Each conversation maintains context, so you can ask follow-up questions:

  • "Show me this month's revenue" → "How does that compare to last month?" → "Which property contributed most?"
  • The AI remembers what you're discussing and builds on previous answers

Tips & best practices

Be specific with time ranges

  • Instead of "Show revenue," try "Show revenue for the last 30 days" or "This quarter's revenue by property"
  • The AI understands relative dates: "yesterday," "last week," "this month"

Ask follow-up questions

  • Build on previous answers: "Show me more details about that property" or "What about cancellations?"
  • The conversation context helps you drill down without repeating information

Use natural language

  • Don't worry about perfect grammar or specific keywords
  • "Which guests r checking in 2morrow?" works just as well as formal language

Combine multiple requests

  • "Show me today's check-ins and any unread messages" gets both answers in one response
  • The AI can handle complex, multi-part questions

Search your conversation history

  • Use the search box in the conversation sidebar to find past discussions
  • Try searching for property names, guest names, or topics like "revenue analysis"

Common questions

Can I switch back to the regular dashboard? Yes! Click the AI Assistant toggle again to return to traditional navigation. Your conversation history stays saved for when you switch back to AI mode.

What if the AI doesn't understand my question? Try rephrasing with more specific details or time ranges. The AI learns from each interaction and gets better at understanding your particular management style and terminology.

Is my conversation data secure? All conversations are encrypted and stored securely within your Vanio account. Only you and authorized team members can access your chat history. Conversations are never shared with other customers or used for training purposes.
