Get Vanio AI managing your properties in under 15 minutes. This guide walks you through connecting your first rental platform, setting up AI guest messaging, and going live with automated responses.

Step 1: Create Your Account

Sign up at app.vanio.ai. No credit card required for the 14-day free trial.

Once you sign in, Vanio's onboarding wizard automatically starts. You'll answer a few questions about your business (property count, rental platforms, etc.) to customize your setup experience.

Setup Progress Widget After onboarding, you'll see a setup checklist widget in the bottom-left corner of your dashboard. This tracks your progress through key setup steps and provides quick access to complete remaining items. Click any item to navigate directly to that setup step, or tap "Done" next to items like app installation to mark them complete.

Step 2: Connect Your Rental Platform

Vanio imports your listings, reservations, and guest messages from your existing platforms. Choose your connection method:

Airbnb Integration

Full Access (Recommended)

  1. Click Connect Airbnb in the onboarding flow or setup checklist
  2. Choose Make Vanio Your PMS for complete automation
  3. Sign in to Airbnb and authorize Vanio
  4. Select which listings to import
  5. Vanio becomes your property management system on Airbnb

Read-Only Mode

  1. Choose Import & Explore to test without changing anything
  2. Your Airbnb account stays exactly as it is
  3. Vanio pulls your data to set up and train AI
  4. Upgrade to full access anytime

Property Management Systems

If you use Guesty, Hostaway, Lodgify, or other PMS platforms:

  1. Select Connect PMS instead of Airbnb
  2. Choose your provider from the list
  3. Enter your account credentials (API keys from your PMS dashboard)
  4. Vanio syncs your listings and reservations automatically

Manual Setup

For VRBO, direct bookings, or other platforms:

  1. Import calendar feeds (iCal URLs) for availability sync
  2. Add listings manually through Settings โ†’ Listings
  3. Full integrations are expanding regularly

Step 3: Automatic Import & Organization

Once connected, Vanio automatically:

  • Imports your listings with photos, descriptions, and pricing
  • Groups similar properties into buildings or complexes
  • Syncs reservations including guest contact info and booking details
  • Pulls message history to learn from your existing guest conversations
  • Generates knowledge articles about each property based on your data

This process takes 2-15 minutes depending on your portfolio size. You'll see real-time progress with counts of imported listings and reservations.

Step 4: AI Learning & Knowledge Base

Vanio AI learns about your properties in three ways:

Step 5: Shadow Mode โ€” Your Safety Net

Vanio starts in Shadow Mode by default. This means:

  • AI drafts every guest response automatically
  • You see drafts in your dashboard before they're sent
  • Click thumbs up โœ“ to approve and send
  • Click thumbs down โœ— to reject and write your own
  • Nothing goes to guests without your approval

Most property managers feel confident switching to live mode within 2-3 days as AI learns their preferences.

Step 6: Go Live with Automated Responses

When you're ready for full automation:

  1. Go to Settings โ†’ AI or click Turn on AI in your setup checklist
  2. Switch from Shadow Mode to Live Mode
  3. AI handles guest messages instantly, 24/7
  4. You still see everything in the audit trail
  5. Jump in anytime to take over a conversation

Step 7: Test Your AI Setup

  1. Click Test AI yourself in your setup checklist, or ask in the dashboard chat: "I want to test how AI responds to guests"
  2. Vanio opens the AI Lab with your next upcoming reservation
  3. Simulate guest conversations to see how AI responds
  4. Try asking about WiFi, checkout procedures, local restaurants, and check-in instructions
  5. Make adjustments to your knowledge base based on the responses

This helps you feel confident before guests start interacting with AI directly.

Optional Enhancements

Mobile App & Push Notifications

  1. Click Install app & notifications in your setup checklist
  2. Follow the instructions to install Vanio on your phone
  3. Enable push notifications to stay informed about:
    • New guest messages and AI responses
    • Check-in and checkout notifications
    • Urgent issues that need your attention
    • Daily summary reports

Team Members & Staff

  1. Click Add team members in your setup checklist, or go to Settings โ†’ Team
  2. Invite cleaners, maintenance staff, or co-hosts
  3. Set role-based permissions for what each person can access
  4. Team members get notifications for their assigned tasks
  5. AI coordinates with your team for cleaning schedules and maintenance requests

Smart Lock Integration

  1. Go to Apps โ†’ IoT
  2. Connect Yale, August, Schlage, or other supported locks

Direct Booking Website

  1. Go to Settings โ†’ Website
  2. Choose a free subdomain (yourname.vanio.direct) or connect your own domain

Common Questions

How quickly can I go from signup to live automation? Most property managers complete setup in 10-15 minutes using the guided checklist and switch to live mode within 2-3 days after testing Shadow Mode responses.

What if AI gives a wrong answer? In Shadow Mode, you approve everything first. In Live Mode, you can jump into any conversation, correct AI, and it learns from your feedback. The setup checklist includes testing steps to catch issues before going live.
