Invoices and billing history
Find, preview, and download your Vanio AI invoices — with consistent totals across the invoice preview, PDF, and dashboard for all reservation types including Airbnb.
Every payment you make to Vanio AI — subscription billing, AI credit top-ups, auto-recharges — gets its own invoice you can download as a PDF. Invoices are issued by Vanio AI with a unique reference number that's stable forever, so your bookkeeping has a clean audit trail.
Where to find your invoices
Open Settings → Billing → Invoices. The page lists every invoice issued to your workspace, newest first, with the invoice number, date, amount, and a download button per row.
You'll also see the most recent invoices on the main Settings → Billing page next to your subscription details, with a "View all invoices" link to the full list.

What's included
Vanio AI issues invoices for:
- Subscriptions — your monthly or annual plan, including any per-listing seats
- AI credits — manual top-ups and auto-recharges when your balance runs low
- Reservation usage — per-reservation AI fees rolled into your monthly invoice
Every invoice has a unique Vanio reference number, the date it was issued, your billing address as it was at the time, and a line-item breakdown of what you were charged for.
Manual credit top-ups now working smoothly
We've recently fixed an issue that was preventing manual credit top-ups from processing correctly when using your default payment method. If you experienced failed top-up attempts in the past, those issues are now resolved — your manual credit purchases will go through smoothly without errors.
To add credits manually:
- Go to Settings → Billing → Credits
- Click Add Credits
- Enter your desired amount (minimum $10)
- Click Purchase — your default payment method will be charged automatically
Your invoice will be generated immediately after the successful top-up.
Downloading your branded invoices
Click the Download icon on any invoice row to get your PDF instantly. These are Vanio-branded invoices generated directly by our platform — not third-party payment documents — so you get consistent, professional invoices for your records.

Each PDF includes:
- Vanio AI's business details — legal entity, address, and tax information
- Your billing information — company name, address, tax ID as configured in your account
- Complete line items — description, quantity, unit price, and totals
- Payment summary — subtotal, tax, and final total
- Unique reference number — for easy tracking and accounting
The PDF filename matches your invoice number, so you can save directly to your accounting folders without renaming.
Consistent totals across your account
The total shown when you preview an invoice in your account now matches the amount on the downloaded PDF and the figure shown in your dashboard — including for Airbnb reservations. Previously, the preview page could show a different total than the PDF for Airbnb bookings. That inconsistency is now resolved, so whichever view you're looking at, you'll see the same guest-paid amount.
How it works automatically
When any charge processes (subscription renewal, credit purchase, usage billing), Vanio AI immediately generates your branded invoice with a unique reference number. The invoice captures your billing details exactly as they were at that moment, creating a permanent record.
You can download the PDF anytime from your billing history — there's no expiration or limit on access.

Common questions
Can I get invoices for past payments? Yes — all your invoices are available in Settings → Billing → Invoices, going back to when Vanio-issued invoices launched. You can download any invoice PDF anytime.
What if my billing details change? Update your information in Settings → Billing. New invoices will use the updated details, while past invoices preserve the information as it was when issued, keeping your historical records accurate.
I had trouble with credit top-ups before — are those issues fixed? Yes, we recently resolved an issue that was preventing manual credit top-ups from processing with default payment methods. Credit purchases now work smoothly and generate invoices immediately.
Why do I see Vanio invoices instead of payment processor documents? Vanio AI now generates your official invoices directly, giving you consistent, professional documents with proper business details and unique reference numbers. This provides better record-keeping than relying on third-party payment receipts.
Why did my Airbnb invoice preview show a different total than the PDF? This was a known issue that has now been fixed. The invoice preview page previously displayed a different figure for Airbnb reservations than what appeared on the PDF or in your dashboard. All three now show the same guest-paid total, so you can trust whichever view you're using.
