Set a base daily workload for auto-assigned cleaning, then fine-tune it per cleaner with a capacity factor so faster cleaners get offered more work before they're full.

Cleaner Capacity & Daily Limits

When Vanio AI auto-assigns cleaning, it needs to know how much work each cleaner can reasonably take in a day — so it can spread jobs fairly and stop offering work to someone who's already booked solid. Two settings control this: a base daily limit that applies to everyone, and a per-cleaner capacity factor that adjusts it for individuals.

The two settings

Both live under Operations → Staff, in the Economics view.

Daily auto-assign cap (the base)

This is the standard amount of committed work, in minutes, that any one cleaner can be auto-assigned in a single day. The default is 300 minutes (5 hours). Set it to whatever a normal full day looks like for your team.

Capacity (per cleaner)

Each cleaner has a Capacity multiplier on that base — shown in the cleaner list in the Economics view. The default is 1.0, meaning that cleaner uses exactly the base limit.

  • A fast, reliable cleaner you'd happily give more to: set 1.25 (about 25% more work).
  • A cleaner with limited hours, or one you want to ease in: set something below 1.0, e.g. 0.75.

How the effective limit is calculated

Effective daily limit = base daily cap × cleaner's capacity factor

For example, a 300-minute base with a 1.25 capacity factor gives that cleaner an effective limit of 375 minutes of auto-assigned work per day.

Vanio AI keeps offering a cleaner new jobs until their committed minutes for the day reach their effective limit, then it routes additional work to someone else. So a higher capacity factor means that cleaner is offered more jobs before being considered full — and a lower one protects cleaners you don't want to overbook.

When to adjust it

  • Reward and lean on your most efficient cleaners by raising their capacity, without raising the base for everyone.
  • Avoid burning out or overbooking part-timers and newer cleaners by lowering theirs.
