What it does
When Airbnb Support reaches out about one of your reservations, Vanio AI:
- Recognizes it as a support conversation, not a guest message. It speaks as your operations team — direct, factual, businesslike — never with guest-hospitality small talk.
- Pulls in the booking it's about. The support conversation is automatically linked to its origin reservation, so Vanio AI replies with the guest's name, the dates, the listing, and the confirmation code — instead of starting from zero.
- Grounds every position in Airbnb's actual rules. Before stating what Airbnb should do, Vanio AI checks Airbnb's published policies (cancellations, Extenuating Circumstances / Major Disruptive Events, AirCover for Hosts, guest refunds, reviews) so it argues from the rules, not from a guess.
- Makes a specific ask. It states exactly what you need Airbnb to do and why — referencing the confirmation code so the agent can act quickly.
- Always shows you the draft before anything is sent. Vanio AI never auto-sends a reply, commits money, or agrees to terms on your behalf. Every response appears as a draft for your approval first.
- Opens a case and tracks it automatically. Every support thread becomes a tracked case with a status, a note on what's at stake, and a record of what needs to happen next — so nothing gets lost while you wait on Airbnb.
Getting started
No setup is required to start receiving drafted replies or to have your cases tracked. As soon as Vanio AI detects a message from Airbnb Support, it handles the thread and opens a case automatically.
To review and approve drafted replies:
- Go to Inbox in the left navigation.
- Open the Airbnb Support conversation. Vanio AI will have prepared a draft reply, shown inline with the thread.
- Review the draft — you'll see the proposed reply and the policy it's based on.
- Click Send to send it as-is, or edit it first and then send.
To review your open cases:
- Go to Inbox in the left navigation.
- Select the Airbnb Cases tab.
- You'll see a list of all open and recent cases — including their current status, any amount at stake, and what action is needed next.

To configure how much Vanio AI can handle on your behalf without asking:
- Go to Settings → Vanio AI.
- Under Approval rules, choose which types of actions (replies, refunds, payout changes) require your sign-off.

How it works
When a support thread arrives, Vanio AI identifies it as an Airbnb Support conversation, links it to the relevant reservation — pulling in the confirmation code, guest name, dates, and listing — and opens a tracked case. It then drafts a reply grounded in Airbnb's policies and surfaces it in your inbox for your approval. Nothing is sent until you approve it.
Every draft is a checkpoint. Vanio AI will never commit your money, agree to a refund, or accept terms on your behalf. If a reply involves any financial or policy commitment, it appears as a draft so you stay in control of what goes out.
While a case is open, Vanio AI keeps watch. If Airbnb hasn't responded and the case has gone quiet, Vanio AI will automatically follow up on your behalf — re-engaging the thread so the case keeps moving. You'll see the case flagged as Overdue in your case list if it needs your attention.
When a case is resolved — whether Airbnb closes it, a refund is issued, or you mark it done — it moves to your resolved history. The full timeline of what was said and when is saved so you always have a record.

Tips & best practices
- Review drafts promptly. Vanio AI prepares a draft as soon as a support message arrives, but nothing goes to Airbnb until you approve it. The sooner you review and send, the faster your case moves.
- Check your case list regularly. The Airbnb Cases tab gives you a live view of everything in flight. Cases flagged Overdue are the ones most likely to need a manual push.
- Add context early. If you know a case involves a specific amount or a deadline, add a note to the case while it's fresh. Vanio AI will incorporate that when drafting follow-ups.
- Keep your approval rules current. If your tolerance for approving replies changes — for example, during a busy season when you want less friction — update your rules in Settings → Vanio AI rather than manually approving every draft.
- Use the case timeline before calling Airbnb. Before picking up the phone, open the case detail. The full timeline shows every message sent, every follow-up attempted, and the current status — which saves you from repeating yourself to an agent.
- Don't close cases prematurely. Let Vanio AI track a case until it's truly resolved. Marking a case resolved too early stops the automatic follow-up loop.
Common questions
Will Vanio AI ever send a reply or agree to something without my approval? No. Vanio AI operates draft-first: every reply it prepares appears in your inbox for your approval before anything is sent to Airbnb. It will never auto-send a message, commit to a refund, or agree to any terms on your behalf. You are always the one who sends.
Do I have to do anything to start tracking cases? No. As soon as Vanio AI detects a message from Airbnb Support, a case is opened automatically. You don't need to create cases manually or connect anything new. Drafted replies also appear automatically — just go to the conversation in your inbox to review and approve.
What does "Overdue" mean on a case? It means the case has been open or waiting on Airbnb longer than expected and hasn't moved. Vanio AI will have already followed up automatically, but the Overdue flag is your signal to review the case and decide if you want to step in directly — for example, by calling Airbnb Support or escalating through the Resolution Center.
What if I handle part of the conversation directly in Airbnb's app? Vanio AI tracks the thread from its side, but if you reply directly in Airbnb, add a note to the case in Vanio so the timeline stays accurate. We're working on tighter sync so that manual replies are reflected automatically in a future update.
