What It Does
Vanio monitors your Airbnb support cases in one central place, recording key details like the type of issue, the dollar amount at risk, what action is needed next, and whether a case is overdue for a follow-up. Every two hours, Vanio automatically re-engages any case that has gone quiet — so stalled disputes, relocation requests, and refund claims keep moving forward even when you're busy managing your properties.
Getting Started
The Case Tracker is ready to use as soon as your Airbnb account is connected to Vanio. No extra setup is required.
- Open the Operations dashboard. From the main navigation menu, click Operations.
- Select the Airbnb Cases tab. You'll see a list of your current open cases — or a confirmation that there are none right now.
- Review your cases. Each row shows the case type, property involved, money at stake, current status, and whether a follow-up is overdue.
- Check for overdue flags. Cases marked Overdue need your attention. Vanio has already sent a follow-up, but there may be a step only you can take — like providing additional information or making a decision.
- Click any case to view its full timeline. You'll see a complete history of every update, follow-up, and status change for that case.

How It Works
Once your Airbnb account is connected, Vanio goes to work in the background:
Case detection. When Airbnb support activity is found — a dispute, a refund request, a relocation, a damage claim — Vanio automatically creates a case record. It reads the conversation context to identify the type of issue, any dollar amounts mentioned, and the Airbnb case reference number, then stores all of that for you.
Ongoing monitoring. Vanio checks each open case on a regular schedule. If a case hasn't moved forward and a follow-up is due, Vanio sends a re-engagement on your behalf — nudging the process along without you having to remember to check in.
Two-hour follow-up cycle. Cases that are open or waiting on Airbnb's response are followed up every two hours. Cases where the next step is waiting on a guest follow up on a slightly longer schedule. This cadence keeps your cases active and prevents them from aging into Airbnb's backlog.
Follow-up counter. Each case tracks how many times Vanio has followed up on your behalf. You can see this count in the case detail view — a rising number is a useful signal that a case may need your direct involvement to break a stalemate.
Scheduled next follow-up. Every time Vanio re-engages a case, it immediately schedules the next follow-up. That means no case ever silently falls off the radar — if Airbnb doesn't respond, the next nudge is already queued.
Timeline history. Every follow-up, status change, and update is logged in a case timeline so you always have a clear record of what's happened and when.
Automatic resolution. Once a case is marked resolved — either by Airbnb, by you, or automatically when the issue is closed — Vanio stops following up and archives the case. You can still view resolved cases any time for your records.

Tips & Best Practices
Check your overdue cases daily. Vanio handles follow-ups automatically, but some cases reach a point where only you can act — approving a refund amount, confirming a guest relocation, or supplying documentation. Build a quick daily habit of scanning for overdue flags.
Use the Next Action note as your to-do. The Next Action field tells you exactly what's needed. If it says the ball is in your court, prioritize that case. If it says Vanio is following up, you can let it run.
Watch the follow-up counter. A case with a high follow-up count that still hasn't moved is a signal worth acting on. Vanio will keep chasing, but at some point a direct call or escalation to Airbnb from you may break the logjam faster.
Keep an eye on the Money at Stake column. Sort by this column to make sure your highest-value disputes are getting resolved first. A case worth several hundred dollars deserves more of your attention than a minor general inquiry.
Don't close cases prematurely. Let Vanio track a case through to full resolution. Closing a case manually before Airbnb has confirmed the outcome means you lose the automatic follow-up protection.
Review resolved cases monthly. Patterns in your resolved cases — frequent refund requests, repeated relocation issues, recurring damage claims at a specific property — are valuable feedback. A monthly review can surface operational improvements.
Common Questions
Do I need to do anything to start tracking cases? No. As long as your Airbnb account is connected to Vanio, case tracking starts automatically. Cases are detected and logged without any action on your part. You'll see them appear in the Operations → Airbnb Cases view as they're identified.
What does it mean when a case is marked Overdue? Overdue means the case was due for a follow-up and Vanio has already re-engaged it — but the case still hasn't moved forward. This usually means a decision or piece of information from you is needed to unblock it. Open the case, review the Next Action note, and take whatever step is indicated.
What do the follow-up count and "Next Follow-Up" fields mean? The follow-up count shows how many times Vanio has automatically re-engaged Airbnb on your behalf for that case. The "Next Follow-Up" field shows when Vanio is scheduled to chase again. Together, they give you a clear picture of how long a case has been running and how actively it's being pursued. If the count is climbing with no resolution in sight, that's your cue to get personally involved.
Can I see cases that have already been resolved? Yes. By default, the Cases list shows only open cases. To include resolved ones, use the filter at the top of the list and toggle Include Resolved Cases on. Resolved cases are archived permanently and won't receive any further follow-ups.
