Airbnb Integration

Vanio AI connects directly to your Airbnb host account so reservations, messages, calendars, pricing, and reviews stay in sync automatically. Once connected, you manage everything from a single dashboard — no more switching tabs, copy-pasting, or missing messages.

Connecting Your Airbnb Account

1. Go to Settings → Apps → Airbnb
2. Click Connect Airbnb Account
3. Choose your access level:
   • Master Co-host — Full management, including messaging and listing edits on your behalf
   • Full Access — Complete sync with AI replies enabled
   • Read-Only — Watch reservations and messages without AI sending replies through Airbnb
4. Sign in to Airbnb on the secure login page that opens
5. Review the requested permissions and click Allow

After you authorize, Vanio AI imports your listings, reservation history, past guest conversations, and reviews. This usually takes 5–10 minutes depending on how many properties you have. A progress bar shows each step.

What Stays in Sync

Once connected, everything updates automatically in the background:

• Listings — Photos, descriptions, amenities, house rules, and check-in instructions
• Calendar — Availability, blocked dates, minimum stays, and booking windows
• Reservations — New bookings appear within minutes, with full guest details and pricing
• Messages — Guest conversations flow both ways in real time
• Reviews — Guest reviews and your responses sync between platforms
• Booking changes — Date changes, extra nights, and guest count edits appear as alteration requests you can accept or decline with one click

When you block a date or change a price in Vanio AI, Airbnb updates within minutes — preventing double bookings across all your channels.

AI Messaging in the Unified Inbox

Airbnb conversations land in the same inbox as Booking.com, VRBO, your direct website, SMS, and WhatsApp. Vanio AI reads each message, learns your tone from past replies, and drafts responses in your voice.

You decide how much autonomy to give it:

• Review mode — AI drafts replies; you approve before sending
• Auto mode — AI handles routine questions on its own and escalates anything it isn't confident about

For the first week, most hosts review drafts to confirm the AI matches their style. After that, full automation handles the bulk of routine guest questions.

Special Offers and Pre-Approvals

When a guest sends an inquiry, you can respond instantly without leaving Vanio AI:

• Pre-Approve — One click sends a pre-approval. The guest has 24 hours to book at your current rate. You can also block instant bookings for that window to keep control.
• Custom Special Offer — Send personalized pricing for specific dates. Set the check-in date, number of nights, total price, and guest count. The guest has 24 hours to accept.

If Airbnb rejects an offer (date conflict, pricing issue, guest eligibility), Vanio AI tells you exactly why so you can fix it.

Handling Booking Changes

When a guest requests an alteration, the request appears in your dashboard with a clear summary: original booking, requested change, new total, and how it affects your payout. Click Accept or Decline — Vanio AI handles the rest with Airbnb. You can also let approved alteration types trigger your existing automations, like updating the cleaning schedule when dates change.

Disconnecting and Reconnecting

To disconnect, go to Settings → Apps → Airbnb and click Disconnect. Your reservations, messages, and property settings stay safely in Vanio AI. When you reconnect later, sync resumes from where it left off — nothing is lost.

If you change your Airbnb password or account settings, you may need to reauthorize. Vanio AI alerts you the moment a reconnect is needed.

• Start in Review mode so you can confirm AI replies match your voice before going fully automatic.
• Use Pre-Approval for trusted guests with good reviews; send custom offers with premium pricing for peak dates.
• Check the connection status weekly in Settings → Apps → Airbnb — a green indicator means everything is healthy.

How fast does Airbnb sync? Reservations appear within minutes. Message replies usually deliver in under a minute. Pre-approvals and offers send within seconds.

What happens if the connection drops? Vanio AI tries to reconnect automatically and alerts you if anything needs your attention. Your existing data is safe; new updates resume once the connection is restored.

Can I manage multiple Airbnb accounts? Yes. Each property keeps its own connection settings while sharing your overall preferences and AI training.

What if a guest doesn't accept a pre-approval or offer? Both expire after 24 hours. You'll be notified and can send a new offer or follow up with a message.
