Photo Wall — Visual Quality Verification

What it does

The Photo Wall displays a grid of photos uploaded by your cleaning team as they complete checklist items. Instead of visiting each property after every turnover, scroll through the day's photos to verify beds are made correctly, bathrooms are spotless, and amenities are in place. Vanio automatically analyzes each photo to identify rooms and categorize images, making it easier to find specific areas of your properties.

Getting started

Accessing the photo wall

  1. Navigate to Operations from the main sidebar
  2. Click the Photos tab
  3. The wall loads showing today's photos in a grid layout
  4. Use the date picker to navigate to previous days

Browsing photos

  • Photos appear in a masonry grid, ordered by upload time (most recent first)
  • Each thumbnail shows a small label with the property name and automatically detected room type
  • Scroll down to load more photos — the wall paginates automatically

How it works

Where photos come from

When your team completes tasks, they check off items on the task checklist within the Vanio mobile app. Checklist items that require photos prompt the cleaner to take and upload a picture before marking the item complete. These photos flow directly into the Photo Wall.

Automatic photo analysis

As photos upload, Vanio automatically analyzes each image to:

  • Identify room types — Detect whether the photo shows a bedroom, bathroom, kitchen, living area, or other space
  • Categorize content — Recognize furniture, fixtures, and cleaning-related items in the image
  • Generate descriptions — Create searchable tags that help you find specific photos later

This happens in the background — you'll see the categorization appear within moments of upload without any manual tagging required.

Click any photo to open it in a full-screen lightbox. The lightbox displays:

  • The photo at full resolution, with zoom and pan controls
  • Listing name — Which property this photo is from
  • Checklist item — What the photo is verifying (e.g., "Master bedroom — bed made," "Kitchen — counters clean")
  • Task title — The parent task (e.g., "Turnover clean — Unit 4B")
  • Completed by — The team member who took the photo
  • Timestamp — When the photo was uploaded
  • Auto-detected tags — Room type and content identified by photo analysis

Use the left/right arrows or keyboard shortcuts to navigate between photos without closing the lightbox.

Filtering

Use the filters at the top of the Photo Wall to narrow down what you see:

  • Property — Show photos from a specific listing only
  • Team member — Show photos from a specific cleaner
  • Checklist category — Filter by room type or item category
  • Room type — Use auto-detected room categories (bedroom, bathroom, kitchen, etc.)

Tips & best practices

Make it part of your morning routine. After checking the Operations Dashboard, scroll through yesterday's Photo Wall to catch any quality issues before guests check in.

Require photos for critical checklist items. In your task templates, mark high-impact items (beds, bathrooms, kitchen, welcome amenities) as "photo required." This ensures your Photo Wall always has the images you need.

Use automatic room filtering. Take advantage of the auto-detected room categories to quickly review all bathroom photos or bedroom setups across multiple properties.

Use photos in performance reviews. The Photo Wall creates a visual record of each cleaner's work. Reference specific photos during coaching sessions — both to praise excellent work and to address quality issues with concrete examples.

Flag issues immediately. If you spot a problem in a photo — a stain on sheets, a missing towel set — contact the cleaner right away while they may still be nearby or reassign a quick fix task.

Common questions

How accurate is the automatic room detection? Vanio's photo analysis correctly identifies room types and content in the vast majority of cases. If you notice any misidentified photos, the system learns and improves over time.

Can I still manually tag photos? The automatic analysis supplements rather than replaces your checklist item descriptions. Your original task context ("Master bedroom — bed made") remains the primary identifier, with auto-detected tags providing additional filtering options.

What if a photo doesn't analyze properly? Rarely, very dark, blurry, or unusual photos may not generate automatic tags. These photos still appear in the Photo Wall with their original checklist context and can be viewed and filtered normally.
