Reservations sync to your PMS

Bookings you make in Vanio — on your direct booking website, from the dashboard or through the API — are created in your connected PMS, and changes and cancellations follow, so availability stays in sync and nothing is double-booked.

When a listing is connected to your property management system (PMS), the bookings you make in Vanio go straight into that PMS. Your PMS stays the single record of every stay, your availability stays in sync everywhere, and nothing gets double-booked.

This works with Guesty, Hostaway, Lodgify, OwnerRez, iGMS, Beds24, Smoobu, BookingSync (Smily), Hospitable, Mews and Cloudbeds. If you haven't connected your PMS yet, start with Property Management System (PMS) Integration.

What goes to your PMS

Every new booking made in Vanio is created in your PMS, wherever it comes from:

  • Your direct booking website — when a guest books on your direct booking website, the reservation is created in your PMS.
  • The Vanio dashboard — reservations you or your team create from the calendar or dashboard.
  • The Vanio API — bookings created by your own tools or partners through the API.

Changes follow the same path. When you change a booking's dates or cancel it, the change is made in your PMS too. That frees the nights in your PMS right away, so they can be booked again on every channel.

Website bookings are checked before the guest pays

Before a guest pays on your direct booking website, Vanio checks with your PMS that the booking can actually be made for those dates. If your PMS says no (for example, the nights were just taken on another channel), the guest sees a clear message and their card is not charged.

What each PMS supports

Every PMS works a little differently. Here is what to expect:

  • OwnerRez — cancellations are made in OwnerRez.
  • Smoobu — booking dates can't be moved. To change dates, cancel the booking and create a new one.
  • iGMS — only bookings made directly (not through a channel) can be created and changed, and every new booking needs a price.
  • Hospitable — only manual reservations can be created and changed.
  • Bookings from Airbnb, Booking.com or Vrbo — these belong to that channel, so changes and cancellations are made on the channel itself, not in your PMS. See Modify Reservations.

Write access when you connect

Some PMSs only let Vanio create bookings if you grant write access when connecting:

  • Beds24 — use an invite code that has write permission.
  • BookingSync (Smily) — approve the write permission when you connect.
  • OwnerRez — grant full access when you connect.

If your connection doesn't allow Vanio to create or change bookings, Vanio tells you on the connection in Settings → PMS Integrations with a Reconnect button. Reconnect, grant the extra access, and you're done.

Choosing what Vanio may change

You decide which bookings Vanio writes to your PMS. Go to Settings → PMS Integrations, find your PMS under Active Connections, and look for What Vanio may change in your PMS. Under Bookings there are three switches:

  • Booking website — direct bookings from your Vanio website are created in your PMS.
  • Dashboard changes — bookings you create, change or cancel from the Vanio dashboard.
  • API — bookings created or changed through the API.

Turn a switch off if you'd rather manage those bookings only in your PMS. Vanio keeps reading everything from your PMS either way. If a switch is off and someone tries that action, Vanio explains that bookings for the property are managed in your PMS instead of making the change — and a website guest is never charged for a booking that couldn't be made.
