Auto-Translation for Multilingual Teams

If your cleaning and maintenance crews speak different languages, Vanio handles translation automatically so you never have to think about it.

How it works

When you send a task, message, or checklist to a staff member, Vanio detects their preferred language from their profile and translates the text before it leaves your phone. When they reply — by SMS, WhatsApp, or in the app — their response is translated back into your language before it reaches your inbox.

Both the original and translated versions are stored in the conversation, so you can always see exactly what was sent and received.

Setting a staff member's language

  1. Go to Staff in the sidebar
  2. Click the staff member you want to update
  3. Under Preferred Language, pick from English, Spanish, Portuguese, French, Polish, Romanian, Bulgarian, and more
  4. Click Save

From that moment on, every message and task sent to that person will arrive in their language.

  • Checklists and instructions
  • Photo captions and notes
  • Replies from staff
  • Schedule changes and reminders

Property addresses, access codes, and brand names stay in their original form so nothing gets garbled.

What you see in the inbox

Every message in a translated conversation shows a small flag or language label. Hover or tap it to see the original text alongside the translation. This is useful when you want to double-check a detail or copy an exact phrase.

Common questions

Does translation cost extra? No — it's included in your plan.

Can staff change their own language? Yes. They can reply with "language spanish" (or any supported language) to any SMS, or update it from their profile in the app.

What if a message is partly in another language? Vanio translates the whole message into the recipient's preferred language, preserving numbers, addresses, and links.

Is voice supported? Voice notes are transcribed, translated, and shown as text. The original audio is kept in the thread so you can still listen.

Multilingual teams are one of the biggest causes of miscommunication in hospitality. Auto-translation removes that friction entirely so your crew can focus on the work.
