What a task report is

When you finish a cleaning or maintenance job, Vanio automatically builds a one-page report that shows exactly what was done. It includes photos, a completed checklist, time spent on site, and any notes or flagged issues. You can share it with the host, the property owner, or a prospective client with a single link.

Think of it as proof of work that does the talking for you.

What's in the report

Every report includes:

  • Property name and address
  • Job type — turnover, deep clean, mid-stay, maintenance
  • Cleaner or team who did the work
  • Start and end time, with total time on site
  • Checklist — every item with a check mark and any notes
  • Photos — organized by room, before and after where applicable
  • Flagged issues — anything that needs the host's attention, like a broken appliance or low supplies
  • Host rating — once the host has reviewed the job

When reports are generated

Reports are built automatically the moment you mark a task as done. You don't need to do anything extra — as long as you've sent your photos and texted "done", the report is ready.

The host gets a notification right away with a link to view it.

Sharing a report manually

  1. Open the finished task from your dashboard or task list.
  2. Tap Share Report.
  3. Copy the link.
  4. Send it by text, email, or any messaging app.

The link works in any browser. Whoever opens it doesn't need a Vanio account, a password, or the app. They just see the report.

  • Forward it to the property owner. A lot of hosts manage properties for someone else and like to pass along proof of cleaning.
  • Show it to a prospective client. When you're pitching new business, a real report beats any sales deck.
  • Settle a dispute. If a guest claims the unit wasn't clean, the timestamped photos and checklist usually end the conversation.
  • Train new staff. Reports are a great way to show what "done right" looks like.

Privacy and access

The link is unguessable, but it is public — anyone with the link can view the report. Treat it like a Google Doc shared with a link: share it with people you trust.

If you ever need to pull a report back, open the task and tap Revoke Link. The old link will stop working immediately. You can generate a fresh one anytime.

Personal guest information (full names, phone numbers, payment details) is never included in shareable reports. The host sees that information in their own dashboard, but it's stripped out of anything you share.

Finding old reports

All reports stay in your dashboard forever under Reports. Search by property, date range, staff member, or job type. Useful when you need to dig up proof of a job you did months ago.

Common questions

Can I edit a report after it's published? You can add late photos or notes for up to 24 hours. After that, the report is locked.

Can the host leave a tip from the report page? Yes — there's a Leave a tip button that goes straight to you.

Does the report show how much I was paid? No. Pricing is never shown to anyone you share the link with.
