Calendar & Multi-Property Scheduling
Multi-property calendar with fast loading, AI pricing, task overlays, and automated conflict detection that displays immediately even when some data is loading in the background
Calendar & Multi-Property Scheduling
What it does
The Calendar shows all your properties side-by-side with reservation blocks, task overlays, and real-time availability. Create reservations directly from the calendar, detect scheduling conflicts, and manage multi-unit dependencies like whole-house bookings that span individual rooms. The calendar loads quickly and shows available information right away, even when some data is still loading in the background.
Getting started
Accessing the calendar
- Navigate to Calendar from the main sidebar
- The multi-calendar loads showing all properties in rows, with dates as columns
- Use the navigation arrows or date picker to move between weeks and months
- Toggle between month view and week view using the controls in the top-right corner
Reliable calendar loading
The calendar is designed to load quickly and reliably:
- Your calendar and reservations appear immediately when you open the page
- If there are temporary issues loading upcoming actions or tasks, the calendar still displays with your core booking information
- Any missing details (like automated task schedules) load separately in the background without blocking your view
- You can start working with your calendar right away while additional information fills in
Reading the calendar
- Each row represents one property
- Colored blocks are reservations, color-coded by platform (Airbnb, Booking.com, Direct, etc.)
- Task icons appear as small overlays on dates where cleaning or maintenance tasks are scheduled
- Gray cells indicate blocked or unavailable dates
- Empty white cells are available nights
How it works
Creating reservations from the calendar
- Click and drag across empty cells on a property's row to select a date range
- A reservation creation form opens with the property and dates pre-filled
- Fill in guest details, pricing, and notes
- Click Create — the reservation appears on the calendar immediately
AI pricing assistance
When viewing individual property calendars, Atlas pricing intelligence is integrated directly into the calendar interface:
- Single-click any date to view pricing details and comparison information (appears after a brief moment)
- Double-click any date to open full date settings where you can edit availability, pricing rules, and restrictions
- The pricing comparison shows why Atlas recommends a specific price, including market demand, seasonality, competition, and quality factors, plus any PriceLabs suggestions for that date
- Click Apply in the pricing popover to accept the recommended price for that date
- The pricing popover now appears directly below the calendar cell you click, making it easier to view and edit rates without the popup appearing in unexpected locations
Calendar interaction guide
The calendar responds to two distinct clicking patterns:
- Single-click: Opens the pricing comparison view after a short delay, showing your current price alongside Atlas and PriceLabs recommendations
- Double-click: Immediately opens the full date settings editor for comprehensive availability and pricing control
This gives you quick access to pricing information while keeping detailed editing just a double-click away. The pricing popover is positioned precisely below the date you click for a more intuitive experience.
Pricing strategy management
- Go to Listings → [Property] → Calendar
- Click the Strategy button in the toolbar to open the pricing strategy panel
- Configure your pricing approach: minimum/maximum prices, occupancy targets, weekend markups, and competitive positioning
- The pricing strategy panel appears as a side panel next to your calendar, allowing you to adjust settings while viewing booking patterns
- The revenue intelligence bar above the calendar shows projected earnings and average rates for the visible month
- Atlas continuously adjusts recommendations based on your strategy settings and real-time market conditions
Reservation overlays
Click any reservation block to see a summary popup with:
- Guest name and contact info
- Check-in and check-out dates and times
- Platform source
- Total price and payment status
- Quick links to the full reservation detail and guest profile
Task overlays
Small icons on the calendar indicate scheduled tasks. Hover to see the task type, assignee, and time. Click to open the full task detail. This lets you see at a glance whether a turnover clean is scheduled between back-to-back reservations.
Calendar dependencies
For properties with multiple units that can be booked individually or as a whole (e.g., a house with separately bookable rooms):
- Go to Settings > Listings > [Property] > Calendar Dependencies
- Link the individual units to the parent property
- When the whole house is booked, individual room calendars are automatically blocked
- When all rooms are booked separately, the whole-house calendar blocks automatically
This prevents double-bookings across related units.
Conflict detection
The calendar highlights conflicts automatically:
- Overlapping reservations — Red border on conflicting blocks
- Missing turnover time — Warning icon when back-to-back bookings have no gap for cleaning
- Dependency conflicts — Alert when a room booking conflicts with a whole-house reservation

Tips & best practices
Use single-click for quick pricing comparisons. When you see a date that needs repricing, single-click to compare Atlas and PriceLabs recommendations side-by-side rather than switching between different screens. The pricing popover will appear right below the date you click for easy reference.
Double-click for detailed date editing. When you need to block dates, set minimum stays, or configure complex pricing rules, double-click to access the full date settings.
Configure your pricing strategy first. Set up your minimum prices, occupancy targets, and competitive positioning in the Strategy panel before relying on daily recommendations.
Check the revenue intelligence bar regularly. It shows whether your current month is tracking above or below projected earnings, helping you spot pricing opportunities.
Don't worry if the calendar loads without all task details. Your core reservations and availability always load first, with automated task schedules filling in moments later. You can start creating reservations and checking availability immediately.
Check the calendar after every new booking. Confirm no conflicts were introduced, especially for properties with calendar dependencies.
Use task overlays to verify turnover coverage. If you see two reservation blocks touching with no task icon between them, a cleaning task may be missing. Create one immediately.
Set up calendar dependencies during property onboarding. Doing this upfront prevents double-booking issues from day one.
Use the calendar for owner communication. Screenshot or share the calendar URL to show owners their property's booking density and upcoming availability.
Common questions
What's the difference between single-click and double-click on calendar dates? Single-click shows pricing details and recommendations after a brief moment, perfect for quick price adjustments. The pricing popover appears directly below the date you clicked. Double-click immediately opens the comprehensive date settings where you can modify availability, pricing rules, restrictions, and minimum stays.
How does Atlas determine pricing recommendations? Atlas analyzes market demand, seasonal trends, competitor pricing, your property's quality score, booking velocity, and day-of-week patterns to suggest optimal prices that balance occupancy and revenue goals.
What happens if some calendar data is slow to load? The calendar shows your reservations and availability immediately, even if automated tasks or workflow actions are still loading. This ensures you can always access your core booking information and create new reservations without waiting. Any missing details appear automatically once they finish loading in the background.
Can I override Atlas recommendations? Yes, absolutely. The pricing comparison shows Atlas and PriceLabs suggestions, but you can modify the price before applying it or ignore the recommendations entirely and set your own prices in the date settings.
