Connect via Email Forwarding

No PMS? No problem. If your properties are booked through platforms that send confirmation emails, you can plug Vanio in by simply forwarding those emails — no integrations, no API keys.

How it works

Vanio gives you a unique forwarding address (e.g. [email protected]). When a new booking confirmation arrives in your inbox — from Airbnb, Booking.com, VRBO, your website, or any other source — forward it to this address. Vanio reads the email, extracts the reservation details, and creates a turnover task automatically.

Setup

  1. Go to Settings → Connections
  2. Click Email Forwarding
  3. Copy your unique forwarding address
  4. In your email provider (Gmail, Outlook, Apple Mail), create a filter or rule:
    • From: the booking platform (e.g. [email protected])
    • Action: forward to your Vanio address
  5. Save the rule

Do this once per platform. From that moment on, every new booking flows into Vanio automatically.

What gets extracted

  • Guest name
  • Check-in and check-out dates and times
  • Number of guests
  • Property name or address
  • Reservation total (used for payout calculations)
  • Special requests (early check-in, late checkout, etc.)

If the email includes a mid-stay clean request, that's extracted too.

Matching properties

The first time a booking for a new property arrives, Vanio asks you to match the email's property name to one in your Vanio account. After that, it remembers the mapping and all future bookings match automatically.

What to do if something doesn't import

Some email formats are more reliable than others. If a booking fails to parse:

  1. Go to Connections → Email Log
  2. Find the failed email
  3. Click Map Fields and correct anything that's missing
  4. Save — Vanio remembers the format for next time

Common questions

Is email forwarding secure? Yes. Your forwarding address is unique, random, and tied only to your account. Only emails forwarded to it are processed.

Can I forward cancellations and changes too? Yes — update emails are processed the same way, and your tasks adjust automatically.

Should I use this or a direct integration? If a direct integration exists for your PMS or channel manager, use it — it's faster and more reliable. Email forwarding is best for platforms without an API.
