Hotels and Room Types

Connect Cloudbeds to run a boutique hotel in Vanio: room types and rooms on your calendar, a hotel booking website where guests book several rooms at once, and Airbnb messaging without duplicate reservations.

Vanio works with boutique hotels and multi-room properties as well as vacation rentals. When you connect a hotel system such as Cloudbeds, Vanio sets your property up as a hotel with its room types and rooms, keeps them in sync, and lets guests book several rooms at once on your direct booking website.

How a hotel looks in Vanio

Hotel — your property: its name, address, description, photos and check-in/check-out times.
Room types — what you sell, such as "Deluxe King" or "Double Queen". Each room type has its own photos, description, prices and availability.
Rooms — the physical rooms of each room type, such as "Room 101". Your hotel system decides which guest stays in which room.

Your vacation rentals are not affected. A listing only becomes a hotel when you connect a hotel system.

Connecting Cloudbeds

Go to Settings → Integrations and choose Cloudbeds.
Paste your Cloudbeds API key and connect.
Vanio imports your hotel, room types, rooms, prices, availability and reservations. Large hotels can take a few minutes; the setup screen shows progress as reservations arrive.

New hotels start with Vanio AI in shadow mode, so you can see what Vanio AI would say before it messages any guest.

Your calendar

Each hotel appears on the multi-calendar as a group you can open and close. Inside it, every room type shows how many rooms are left each night (for example 7/10). Open a room type to see each room and the stays assigned to it.

Cloudbeds stays in charge of room assignment and room counts. When something changes in Cloudbeds, Vanio updates within minutes.

Your hotel booking website

Direct booking websites have a hotel design made for a single property:

The homepage is your hotel: photos, description and check-in/check-out times.
Every room type is listed with its photos, price for the guest's dates and rooms left.
Guests can pick several rooms — for example two Double Queens and one King — and pay once.

When a guest books, the rooms are reserved in Cloudbeds first. The card is charged only after Cloudbeds confirms every room; if the rooms were just taken, the guest is not charged. The payment is recorded in Cloudbeds so your front desk sees the stay as paid, and each room appears in Vanio as its own reservation.

Taxes: when you add a room type to your website, Vanio copies the taxes Cloudbeds adds to room rates, so the website charges the same total Cloudbeds shows. You can review them in your website's listing settings.

To use the hotel design, open Websites, choose your website, and under General → Design pick Hotel.

Airbnb and Cloudbeds together

Many hotels sell on Airbnb through Cloudbeds. You can also connect Airbnb directly to Vanio for messaging, so Vanio AI can talk to your Airbnb guests.

Vanio recognizes each Airbnb reservation that Cloudbeds already imported and links the Airbnb conversation to it. You do not get duplicate reservations, and prices and availability keep flowing through Cloudbeds.

When you connect Airbnb for a hotel that already uses Cloudbeds, choose messaging access.
