Create custom cleaning checklists for each property with automatic task assignment, AI inspection, and clear override indicators for special requirements.

Checklists Per Property

Every property is different. A studio needs a 20-minute turnover; a 5-bedroom villa needs two hours and a linen swap. Vanio lets hosts build checklists once and automatically apply them to every task — with per-property customization when needed.

How checklists work

Hosts create checklist templates in Settings > Checklists. Each template has items organized by room, with options per item:

  • Photo required — you must take a photo to complete this step
  • AI inspection — Vanio AI checks your photo against a reference image
  • Rating type — pass/fail, stars, thumbs up/down, yes/no, or 1-10 scale
  • Reference image — shows you exactly what the host expects

When a task is created, the right checklist is automatically attached based on the property and task type.

Property-level customization

Hosts can customize checklists per property in Settings > Checklists > Property. A beachfront condo might add "rinse outdoor shower" while a ski chalet adds "check hot tub chemicals." You see the checklist specific to the property you're cleaning — no guessing.

Assigning checklists to properties

To assign a different checklist to a specific property:

  1. Go to Settings > Checklists > Property
  2. Find your property in the list
  3. Click the dropdown next to the property name — the name of the currently assigned checklist and number of items will be displayed
  4. Select the checklist template you want to use
  5. Changes save automatically and persist when you refresh the page

Understanding override badges: When a property has a custom checklist that differs from the default template, you'll see an "OVERRIDE" badge next to the checklist name. This makes it easy to identify which properties have special requirements at a glance.

Each property can use a different checklist template, or you can create property-specific versions of existing templates. The system automatically applies the right checklist when tasks are created for that property.

Working through a checklist

When you start a task, the checklist appears step by step:

  1. Read the item title and expectations
  2. If there's a reference image, look at what the host expects
  3. Do the work
  4. If a photo is required, take a photo — AI gives you instant feedback
  5. If a rating is required, rate the item
  6. Tap Complete Step to move to the next item

You can't mark the task complete until every required step is done. This prevents missed items before they become a problem.

AI-generated checklists

Hosts can use Generate with Vanio AI to create checklists automatically from property details — number of bedrooms, bathrooms, amenities. The AI suggests items organized by room with appropriate photo requirements and rating types.

Via text message

Don't have the app open? When a host sends you a task by text, you can:

  1. Tap the upload link in the message
  2. See each checklist item with its reference image
  3. Take photos item by item
  4. Get AI feedback instantly
  5. Fix issues before leaving

If you just MMS a photo back, Vanio matches it to your next checklist item and texts you the AI result.

Templates

Hosts can install ready-made templates from the community library — proven checklists shared by other property managers. They can also publish their own templates for others to use.

Common questions

Can I add notes to a step? Yes — tap any step to add a note or flag an issue (low supplies, broken item).

What if a step doesn't apply to this visit? Non-required steps can be skipped. Required steps must be completed.

Can I see the checklist before starting the task? Yes — the full checklist is visible in the task details before you begin.

What does the override badge mean? The "OVERRIDE" badge appears when a property uses a custom checklist that's different from the standard template. This helps you quickly identify properties with special requirements.

What if my checklist assignment doesn't save? Checklist assignments now save reliably. If you're still having issues, try refreshing the page after making changes to confirm they've been applied.
