Every task can have a due date and time, so your team always knows what needs to happen and when. Vanio AI ties task scheduling directly to your bookings — so a turnover clean is pinned to the day a guest actually checks out, and it stays correct even when the booking moves.
Setting a due date
When you create or open a task, click the due-date field to open the calendar. Two things make this calendar different from an ordinary date picker:
- Booking-aware day markers — days with a check-in or a checkout at the property are marked right on the calendar, so you can line a task up with real guest movement instead of guessing. You can see at a glance which day the unit turns over.
- A default due time of 11 AM — new tasks default to 11 AM, which matches the typical checkout window for a turnover. You can change the time to anything you need; the default is just there so you never have to set it for the common case.
Pin a task to the next checkout
Most operational tasks — the turnover clean, the mid-stay top-up, the inspection before the next arrival — really mean "whenever this unit next frees up." For those, use the Next checkout quick-set on the due-date picker.
Next checkout does two things:
- It sets the task's due date to the property's next checkout date in one click, so you don't have to look it up.
- It keeps the task's due date synced to that checkout. If the guest changes their dates and checks out a day later, the task's due date moves with them automatically. You never have to remember to reschedule the clean after a booking changes.
This means a turnover task stays correct on its own. Change the reservation, and the work that depends on it follows.
Quick-create from anywhere
You don't have to be on the Tasks page to schedule a task. Open the command palette (the quick-create shortcut available across the app) and create a task on the spot. The same booking-aware due-date picker — check-in and checkout markers, the 11 AM default, and the Next checkout quick-set — is available there too, so a task you jot down in five seconds still lands on exactly the right day.
See what else is due that day
When you open a task, Vanio AI shows you the other tasks due the same day at the same property. This is the coordination view: before you send someone to a unit, you can see that there's also a maintenance fix and a restock due there on the same date, and batch the trip instead of making three. It turns a single task into a picture of everything happening at that property that day.
