Vanio pays your team the moment their work is approved — no weekly spreadsheets, no Venmo chasing, no "I'll get you next Friday." This section covers how instant pay works, when it kicks in, and how to control it.
How instant pay works
- Staff completes a task and uploads any required photos
- Photos pass review (automatic for standard checklists, manual for flagged cases)
- Vanio calculates pay from the staff member's rate
- Funds move from your account to theirs
- Staff sees the deposit in their bank within minutes
This works for cleaners, maintenance techs, inspectors, and anyone else you pay through Vanio.
Turning it on
- Go to Settings → Payouts
- Under Release Schedule, pick Instant on approval
- Save
You can also choose daily, weekly, or on-demand release. Instant is the default for most hosts because it's the biggest retention tool — cleaners love it.
What about funding?
For instant payouts to work, your Stripe account needs available balance. Vanio shows your current balance at the top of the Payouts page and warns you before it runs low. You can top up manually, auto-fund from your bank, or let incoming guest payments cover outgoing staff payouts.
Approvals
You can set tasks to auto-approve (fastest — staff get paid the instant they tap Done) or manual approve (you review photos before releasing pay). Most hosts use auto-approve with spot-check inspections to keep things fast and honest.
Tips and adjustments
Add a tip or adjustment from the task detail page:
- Tip — bonus on top of base pay (staff sees this clearly)
- Adjustment — positive (fill-in supplies reimbursement) or negative (deduction for damage)
Both are logged and included in the same payout batch.
Per-staff controls
Some staff might prefer weekly payouts over instant. Under Staff → [name] → Payout Preferences, you can override the default per person.
Statements and taxes
Staff get a monthly and yearly statement in the app. For US contractors, Vanio issues 1099s at year-end automatically.
Common questions
Who pays the payout fees? You do. They're deducted from your balance, not from staff pay.
What happens if payout fails? Vanio retries, alerts you, and asks the staff member to update their bank details.
Can I claw back pay for a bad job? Yes, within 24 hours of release. After that, disputes have to go through normal payroll adjustment.
