Vanio automatically keeps your re-listed properties in sync with the original Airbnb calendar and pricing so you're never caught double-booked or selling below cost. This guide walks you through everything you need to know to start identifying deals and managing active arbitrage listings confidently.


What It Does

The Trade Desk surfaces Airbnb listings in Hawaii that are priced below market rate, giving you a clear opportunity to rebook them at a higher rate on other platforms. Once you select a listing, Vanio automatically imports all of its photos, amenities, and property details and creates a ready-to-publish Vanio listing. From there, you can set your own price, publish to partner platforms, and let Vanio handle the ongoing calendar and pricing sync — including automatically closing dates that become unavailable or go stale.


Getting Started

  1. Open the Trade Desk. In your superadmin sidebar, go to Atlas → Trade Desk. You'll land on the deal discovery board showing all active arbitrage candidates.

  2. Find a promising listing. Each card shows the Airbnb source price, the market median for comparable properties, and the estimated price gap — the higher the gap percentage, the more room you have to mark up. Use the island and property-type filters to narrow your search.

  3. Review the listing detail. Click any card to open the detail view. Here you'll see:

    • The original Airbnb listing URL and photos
    • Bedroom, bathroom, and guest capacity details
    • Host name, superhost status, rating, and review count
    • The source (Airbnb) nightly rate alongside the suggested target price
    • A 90-day forward occupancy estimate

  4. Set your price. In the pricing editor, you'll see the original Airbnb rate on the left and your listing price on the right. Adjust your price using the input field. Vanio will warn you if your price falls below the minimum cost floor for that listing — you cannot save a price below that threshold.

  5. Select the listing. Click Select This Deal to move it into your active pipeline. Vanio will automatically create a Vanio listing with all the imported photos and amenities.

  6. Publish to platforms. Once the listing is created, go to the listing's Distribution tab and toggle on the platforms you want to publish to (such as Booking.com). Click Publish.

  7. Monitor from the dashboard. Return to Atlas → Trade Desk at any time to see real-time price and calendar sync status for all your active deals.


How It Works Automatically

Once a listing is active in your Trade Desk, Vanio runs a continuous background sync that keeps everything aligned between the original Airbnb calendar and your re-listed property. Here's what happens without any action from you:

Calendar & Availability Sync

Vanio regularly checks the original Airbnb listing's availability. When a date is booked, blocked, or unavailable on Airbnb, your Vanio listing is automatically updated to reflect that — preventing double-bookings.

Freshness Rules

Each date on your calendar has a freshness window. If the source calendar data for a given date hasn't been refreshed within the allowed time, Vanio automatically closes that date on your listing as a safety measure. This protects you from inadvertently selling a night you can't actually deliver. You'll see closed dates appear greyed out in your calendar view.

Lead-Time Protection

Vanio enforces a minimum lead-time buffer. Dates that fall within the near-term cutoff window are automatically closed, giving you enough time to coordinate with the source host before a guest arrives.

Never-Below-Cost Pricing

Every listing has a cost floor calculated from your margin settings. Vanio will never push a price to your calendar that falls below this floor — even if an automatic price adjustment would otherwise result in a lower number. Dates where the source price has dropped below your floor are automatically closed rather than listed at a loss.

Real-Time Price Display

The pricing editor always shows both the current Airbnb source rate and your active listing rate side by side, so you can see at a glance how your margin is holding up as the source host adjusts their prices.

Tips & Best Practices

  • Review your cost floor before publishing. The cost floor is set per listing and reflects your minimum acceptable margin. Make sure it accounts for your platform fees, cleaning costs, and any other overhead before you go live.
  • Check the gap percentage, not just the source price. A listing priced at $150/night with a 40% gap is often a better opportunity than one at $300/night with a 10% gap.
  • Don't fight the auto-close. If Vanio closes a date, it means the source data wasn't fresh enough to safely sell that night. Trust the system — re-opens happen automatically once fresh data is available.
  • Keep an eye on the sync status column. The Trade Desk dashboard shows a status badge for each deal. A "Syncing" badge is healthy; a "Stale" badge means the source listing may have been removed or gone dark and needs your attention.
  • Use the lead-time setting thoughtfully. A longer lead-time buffer gives you more coordination time but reduces bookable inventory. Work with your team to find the right balance for your operation.
  • Avoid manually closing dates that Vanio auto-manages. If you manually block a date, Vanio will respect that — but keep in mind that auto-sync won't re-open a date you've manually closed.

Common Questions

What happens if the Airbnb host changes their price overnight? Vanio detects the updated source price during the next sync cycle. Your listing price is not changed automatically — that's your decision. However, if the new source price drops below your cost floor, the affected dates will be automatically closed until you adjust your price or the source price rises again.

Why did a date on my listing close without me doing anything? This is the stale-date safety rule at work. If Vanio couldn't confirm fresh availability data for that date within the allowed freshness window, it closed the date to protect you from a potential double-booking or undeliverable reservation. The date will re-open automatically once a fresh check confirms the source listing is still available.

Can I use the Trade Desk for listings outside Hawaii? Right now, the Trade Desk is focused on Hawaii. Support for additional markets is on the roadmap — stay tuned for announcements in the Vanio release notes.
