Connect via iCal Calendar

If your bookings live in a calendar that publishes an iCal feed — Airbnb, VRBO, Google Calendar, Apple Calendar, or any other platform — you can plug them into Vanio in about a minute. No API keys, no account linking, just a URL.

What you need

  • The iCal URL from your booking platform (usually found under Calendar → Export or Sync)
  • One URL per property

Adding an iCal feed

  1. Go to Properties and open the property you want to connect
  2. Click CalendarsAdd iCal
  3. Paste the iCal URL
  4. Give it a label (e.g. "Airbnb", "VRBO")
  5. Save

Vanio fetches the feed immediately and imports every future reservation it finds. From then on, it refreshes every 15-30 minutes so new bookings, cancellations, and date changes flow in automatically.

What gets imported

  • Check-in and check-out dates
  • Reservation ID from the source platform
  • Guest name (if the feed includes it — Airbnb hides it)
  • Notes or special requests (if included)

iCal feeds are usually anonymous — you won't see guest contact info or pricing. That's a limit of the format, not Vanio.

Multiple calendars on one property

Most hosts list a single property on multiple platforms. Add one iCal per platform and Vanio merges them into a single master calendar. Conflicts (double-bookings) are flagged immediately so you can fix them before they become a problem.

Turnover scheduling from iCal

Even though iCal gives limited info, it's enough for Vanio to schedule turnover tasks. As soon as a new booking appears, a cleaning task is created for the checkout date and offered to your team.

Common questions

How fast does a new booking show up in Vanio? Usually within 15 minutes. Some platforms push faster than others.

Can guests see their name in Vanio if I use iCal? Only if the source feed includes it. Most platforms redact guest names in iCal for privacy.

Is iCal as reliable as a direct integration? For scheduling tasks, yes. For full guest messaging, pricing, and payments, you'll want a direct integration (Airbnb API, Booking.com partner feed, etc.).

Can I remove an iCal later? Yes — open the calendar in Vanio and click Remove. Historical reservations are kept; future ones stop syncing.
