Track your rental fleet's performance, manage reservations, and handle security deposits all in one comprehensive dashboard. The new Host Operations center gives you complete visibility into your cars, bikes, and other rentables with real-time revenue tracking, utilization metrics, and streamlined reservation management.

What it does

The Host Operations dashboard transforms how you manage your rental business by centralizing all critical data in one place. You can monitor monthly revenue against your targets, track which vehicles are performing best, see upcoming pickups and active rentals at a glance, and manage security deposits without leaving Vanio. Everything updates automatically, so you always have the latest information about your fleet.

Getting started

Accessing the dashboard

  1. Go to Dashboard from your main navigation
  2. Select Rentables from the left sidebar
  3. Choose the property containing your rental fleet
  4. Click on the Operations tab

Setting up revenue targets

  1. In the Revenue Overview section, click Set Monthly Target
  2. Enter your target amount for the current month
  3. Click Save to start tracking progress
  4. Your dashboard will now show actual revenue vs. target with a visual progress indicator

Understanding your fleet summary

  1. The Fleet Overview shows your total active rentables
  2. Today's Pickups displays all vehicles being collected today
  3. Currently Rented shows vehicles out with guests right now
  4. Each item shows the guest name, vehicle, and pickup/return times

How it works

The dashboard automatically pulls data from all your reservations, payment processing, and vehicle management systems. Revenue calculations update in real-time as payments are processed, and utilization rates reflect actual booking patterns across your fleet.

When guests make reservations, they appear instantly in your operations view. The system tracks each vehicle's status from booking through return, including any condition photos guests submit during pickup and dropoff. Security deposits are monitored through your payment processing system, giving you complete visibility into holds and captures.

Revenue tracking

Your revenue metrics calculate automatically based on completed bookings and processed payments. The system tracks:

  • Monthly totals against your targets
  • Daily breakdown showing peak and slow periods
  • Per-vehicle performance to identify your top earners
  • Utilization rates showing how often each rentable is booked

Reservation management

All reservations appear in chronological order with key details visible at a glance. The system automatically updates status as bookings progress from confirmed to active to completed.

Managing vehicle and bike details

Editing from the overview page

  1. Navigate to any vehicle or bike in your fleet
  2. In the Vehicle details or Bike details section, click the Edit link
  3. You'll be taken directly to the Settings page where you can update all specifications
  4. Make your changes and click Save Changes to update immediately

Updating vehicle specifications

In the Settings page, you can modify:

  • Basic information — Make, model, year, trim, and color
  • Identification — License plate number and VIN
  • Specifications — Number of seats, transmission type, fuel type
  • Electric vehicle details — Range in kilometers and charge port type
  • Policies — Minimum driver age and mileage restrictions

Updating bike specifications

For bikes, you can edit:

  • Type and size — Road, mountain, eBike, or scooter classification
  • Included equipment — Whether helmets and locks are provided
  • Basic details — Size specifications and other identifying information

All changes save immediately and update across your entire rental system, including guest-facing booking pages and reservation confirmations.

Managing security deposits

Releasing deposits

  1. Go to Reservations and find the completed booking
  2. Click View Details for the reservation
  3. In the Security Deposit section, click Release
  4. Confirm the release — the hold will be cancelled immediately
  5. Guests receive automatic notification that their deposit has been released

Capturing deposits (for damages)

  1. Navigate to the reservation with reported damage
  2. Click View Details to open the full reservation page
  3. In the Security Deposit section, click Capture
  4. Enter the amount to charge (up to the full deposit amount)
  5. Add notes about the damage for your records
  6. Click Process Capture to complete the transaction

The system handles all payment processing automatically and updates the reservation status once the deposit action is complete.

Tips & best practices

Set realistic revenue targets — Use your historical data to set achievable monthly goals. You can adjust targets mid-month if needed.

Keep vehicle details current — Use the new Edit links to promptly update license plates, VIN numbers, and specifications when vehicles change. Accurate details improve guest confidence and booking rates.

Review condition photos promptly — Check pickup and dropoff photos within 24 hours of each rental to quickly identify any damage and address it with guests.

Monitor utilization patterns — Use the fleet metrics to identify which vehicles are most popular and consider adjusting pricing or availability for underperforming assets.

Update bike equipment status — Keep helmet and lock availability current so guests know exactly what's included with their rental.

Handle deposits quickly — Process deposit releases within 1-2 business days after vehicle return to maintain positive guest relationships.

Use the mobile view — The operations dashboard works great on mobile devices, so you can check on your fleet while you're out preparing vehicles or meeting guests.

Track peak booking times — Use the daily revenue breakdown to identify your busiest periods and plan vehicle maintenance during slower times.

Common questions

How often does revenue data update? Revenue figures update in real-time as payments are processed. You'll see new bookings and completed rentals reflected immediately in your totals.

Can I edit vehicle details after they're created? Yes, you can now edit all vehicle and bike details from the overview page. Just click the Edit link in the details section to access the Settings page where you can update specifications, contact information, and policies.

Can I export reservation data? Yes, you can export reservation lists and financial summaries from the dashboard. Look for the Export button in the top-right corner of each section.

What happens if a guest disputes a deposit capture? All deposit transactions include your notes and reasoning. If a guest disputes through their bank, you'll receive notification and can provide the documentation through your payment processor's dispute resolution process. The condition photos and rental agreement automatically support your case.
