High-Resolution Photo Uploads

Upload unlimited high-resolution photos directly from your device, or include photos in a listing content update to replace or add to your existing set — with changes saved immediately and published to booking channels only when you're ready.

Vanio AI now supports unlimited file sizes for property photos, allowing you to upload high-resolution images directly from your phone or camera without compression or quality loss. This enhancement eliminates the frustrating upload failures that previously occurred with large iPhone photos and professional camera images, with improved reliability that ensures your photos upload successfully every time. You can also update your listing's photo set directly when you update your listing details — photos are saved immediately and ready for your review before you push them to any booking channels.

Getting Started

Uploading Photos to Your Property

  1. Navigate to your property — Go to Properties and select the rental you want to add photos to
  2. Open the Photos section — Click on the "Photos" tab in your property management dashboard
  3. Upload your images — Click "Add Photos" or drag and drop your image files directly onto the upload area
  4. Select multiple files — Choose as many high-resolution photos as you need from your device
  5. Wait for upload completion — You'll see a progress indicator showing "Uploading 1 of X" as each photo processes

Updating Photos Through a Listing Content Update

When you update your listing details (title, description, amenities, and so on), you can include a new set of photos in the same update. Your photos are saved immediately — no separate step required.

Replacing your entire photo set By default, sending photos with a listing update replaces all of your current photos with the new set, in the order you provide them. Your cover photo (thumbnail) is automatically updated to the first photo in the new set.

Adding photos to your existing set If you want to keep your current photos and add new ones to the end, choose the "append" option when submitting your update. Your existing photos stay in place, and the new photos are added after them. Your cover photo is only updated automatically if you don't already have one set.

Clearing all photos To remove all photos from a listing, send an empty photo list with your update. This clears the entire photo set and resets the cover photo. This action is intentional and immediate — double-check before you do it.

Nothing changes if you skip the photos field If your listing update doesn't include a photo list at all, your existing photos are left exactly as they are.

Note: Photos saved through a listing update are stored in your Vanio AI account right away, but they are not automatically pushed to Airbnb, Booking.com, or any other channel. Your listing stays as-is on those platforms until you publish the update. See "Publishing to Booking Channels" below.

If you need a team member or contractor to upload photos for a maintenance task — for example, sending them a link via text message — you can generate a secure upload link directly from the task. You must be logged in to your Vanio AI account to generate this link.

  1. Open the task — Go to the relevant maintenance task in your dashboard
  2. Generate the upload link — Click "Generate Upload Link" (or the equivalent option shown in the task detail view)
  3. Copy and share the link — Send the link to your staff member via SMS, email, or any other channel you prefer
  4. Staff uploads without logging in — The recipient can tap the link and upload photos directly — no Vanio AI account required on their end

Note: Only operators who are logged in and have access to the relevant customer account can generate upload links. This ensures upload links are always issued by an authorized person. The link itself remains easy for staff to use — they simply open it and upload.

Supported File Types

You can now upload these image formats without size restrictions:

  • iPhone photos (including Live Photos saved as images)
  • Professional DSLR/mirrorless camera files
  • JPEG, PNG, HEIC, and other standard image formats
  • Images larger than 9MB that previously failed to upload

Immediate Saving When You Update Listing Details — When you include photos in a listing content update, they are saved to your listing straight away — you don't need to wait for a separate processing step. You'll see the result reflected in your dashboard immediately.

Cover Photo Managed Automatically — When you replace your photo set, your cover photo is automatically updated to the first photo in the new set. When you append photos to an existing set, your current cover photo is never changed unless you didn't have one set yet.

Publishing to Booking Channels — Photos saved through a listing update are stored locally in Vanio AI first. They are not sent to Airbnb, Booking.com, or other platforms until you explicitly publish your listing. This gives you a chance to review everything before it goes live.

Secure Upload Links for Staff — When you generate an upload link for a maintenance task, Vanio AI verifies your identity and confirms you have access to that specific task before issuing the link. This means upload links can only be created by authorized team members, protecting your account from unauthorized access. Once issued, a link is valid for 24 hours and is tied to the specific task it was created for.

Getting the Best Results

Take advantage of high resolution — Don't resize or compress your photos before uploading. Vanio AI can now handle your camera's full resolution, giving you maximum flexibility for different marketing uses.

Upload in batches — Group related photos together (exterior shots, kitchen photos, bedroom images) and upload them as a set for easier organization.

Use descriptive filenames — Name your photos descriptively before uploading (like "kitchen-island-view.jpg") to make them easier to identify and organize later.

Upload with confidence — The improved reliability means you can start large uploads and trust they'll complete successfully, even if you navigate away from the page.

Updating Photos Through a Listing Content Update

Put your best photo first — When replacing your photo set, the first photo in your list automatically becomes your cover photo on Vanio AI. Make it count — choose your most striking exterior or hero shot.

Use replace for a full refresh, append for additions — If you're doing a complete reshoot, use the default replace mode. If you're adding a few new rooms or seasonal shots to an existing gallery, use append so you don't lose your current photos.

Double-check before clearing — Sending an empty photo list removes all photos from your listing immediately. Make sure you have copies of any photos you want to keep before doing this.

Review before you publish — After saving a new photo set, take a moment to check how everything looks in your dashboard. Photos aren't sent to booking channels until you publish, so you have time to make adjustments.

Make sure you're logged in first — You'll need to be signed in to your Vanio AI account before generating an upload link for a task. If you're not logged in, you'll be prompted to sign in before the link can be created.

Generate links from the right account — If you manage multiple properties under different customer accounts, make sure you're working within the correct account when generating a link. The link will be tied to that specific task and account.

Share links promptly — Upload links expire after 24 hours, so send them to your staff member soon after generating them.

One link per task — Each link is specific to its task, so staff can only upload photos to the task it was created for.

Mobile Photography Tips

Shoot in the highest quality — Enable "High Quality" mode in your iPhone camera settings. With no size limits, you can capture and upload the best possible images.

Upload over WiFi when possible — While the system works on cellular connections, WiFi provides faster upload speeds for large photo files.

Keep your originals — Since there's no compression, you're uploading true originals that can be used for everything from social media to print marketing.

Q: Will my photos upload faster now? A: Large photos may take slightly longer to upload due to their size, but they'll upload reliably without the failures you experienced before. A: If none of the photo links in your update were valid, Vanio AI leaves your existing photos untouched rather than accidentally clearing them. Check that all your photo links are complete web addresses starting with "http://" or "https://" and try again. Your existing photos are always safe — a partial or malformed update will never wipe your photo set.

Q: Why do I need to be logged in to generate an upload link for a task? A: Generating an upload link creates a credential that allows someone to add photos to a specific task in your account. Requiring you to be logged in ensures that only authorized operators can issue those credentials — preventing anyone outside your team from creating upload access to your tasks. Your staff members who receive the link still don't need to log in; only the person generating and sharing the link does.

Q: What if I try to generate an upload link but get an error? A: Make sure you're signed in to Vanio AI and that you have access to the customer account the task belongs to. If you manage multiple accounts, confirm you're viewing the task under the correct account. If the issue persists, contact support.
