Connecting Booking.com

Vanio is a Booking.com connectivity partner, so once connected, your reservations, messages, calendar, and reviews all flow into Vanio in real time. AI can reply to Booking.com guests directly in Booking's own messaging system, and codes, payments, and tasks all work the same as on any other channel.

How the connection works

Vanio supports two connection paths depending on your Booking.com account type.

  1. OAuth (recommended). One-click connection using your Booking.com Extranet login. Works for most hosts and managers.
  2. Property ID pairing. For accounts that aren't OAuth-eligible, Booking.com sends a pairing request to your Extranet and you accept it there. Vanio support helps with this route if you need it.

Step 1 — Connect

  1. In Vanio, go to Settings → Integrations.
  2. Find Booking.com and click Connect.
  3. Click Sign in with Booking.com.
  4. Log in to your Extranet. If you manage multiple properties, pick the ones you want to sync.
  5. Approve the permissions. You'll be redirected back to Vanio.

Your Booking.com properties appear immediately under Settings → Listings, each marked with the Booking.com badge.

Step 2 — Match properties to Vanio listings

If you already have listings in Vanio (from Airbnb, your direct website, or a PMS import), match them up so both channels point to the same property.

  1. Go to Settings → Listings.
  2. Click an unmatched Booking.com property.
  3. Pick Link to existing listing and select the matching Vanio listing.
  4. Save.

Brand new properties that only exist on Booking.com can be imported as fresh listings with one click — Vanio pulls in photos, amenities, descriptions, and pricing.

What syncs

Once connected, Vanio keeps the following in sync, both directions where possible.

  • Reservations. New bookings appear instantly with full guest details, pricing, and special requests.
  • Calendar availability. Blocking dates in Vanio blocks them on Booking.com and vice versa, so you'll never get a double booking.
  • Guest messages. All Booking.com thread messages flow into the Vanio inbox. Replies go back through Booking.com's secure messaging.
  • Reviews. Guest reviews on Booking.com appear in Vanio's reviews section, and you can reply to them from there.
  • Cancellations and modifications. Any changes on Booking.com — date changes, guest count updates, cancellations — reflect in Vanio within seconds.

How AI handles Booking.com messages

Booking.com guests chat inside Booking's own messaging system. Vanio's AI reads every message, understands the context (reservation, listing, guest history), and replies in Booking.com within seconds. The AI can:

  • Answer check-in and amenity questions
  • Send directions and arrival instructions
  • Handle payment and damage deposit questions
  • Escalate to you when it's unsure

Everything AI sends is visible in your inbox with a small "AI" badge so you can review, edit, or take over anytime.

Pre-arrival registration codes

Booking.com is unique in that guests often need to complete pre-arrival registration for tax and police reporting (common in Europe). Vanio handles this automatically.

  1. In Settings → Guest Verification, enable Pre-arrival registration.
  2. Choose what to collect — ID scan, selfie, address, arrival time.
  3. Vanio sends the guest a registration link right after the Booking.com reservation lands.
  4. When the guest completes it, Vanio generates the police or tourism-authority report and lets you download it.

The smart lock code is only revealed after the guest completes registration, so you're always compliant before they arrive.

Common questions

Does Booking.com charge extra for the connection? No. Vanio is a certified connectivity partner and the integration is free on Booking's side.

Will guests know they're chatting with AI? Only if you tell them. Replies go through Booking.com's normal channel under your account name.

What about virtual credit cards? Booking.com often provides virtual cards for payments. Vanio detects these automatically, charges them at the right time per Booking.com's rules, and flags any declines.

Can I disable the connection temporarily? Yes. Go to Settings → Integrations → Booking.com and click Pause sync. Calendar sync continues so you don't double book, but messaging and new-reservation import stop.

How do I disconnect entirely? Click Disconnect on the same page. All historical data stays in Vanio; only the live link is removed.
