  3. Send the unique connection code shown in your dashboard
  4. Once connected, you can message the bot directly or add it to group chats

How It Works

Once connected, your AI assistant works identically across all platforms. You can ask questions in natural language, and the assistant automatically:

  • Searches your data — reservations, guest profiles, property details, tasks
  • Takes actions — sends guest messages, creates tasks, unlocks doors, processes payments
  • Provides context — includes relevant details like reservation numbers, guest names, property addresses
  • Maintains conversations — remembers what you discussed earlier in the chat thread

The assistant has the same capabilities as your dashboard — it's like having a team member who knows everything about your properties and can handle requests instantly.

Key Features

Full property management access — Everything from your dashboard is available through chat: reservations, guests, tasks, payments, analytics, and smart home controls

Smart context awareness — The assistant understands which property or reservation you're discussing and provides relevant information automatically

Multi-platform sync — Start a conversation on WhatsApp and continue it on Slack — your assistant remembers the context

Team collaboration — Add the bot to group chats so your entire team can get instant answers and updates

Guest communication — Ask the assistant to send messages to guests, and it will automatically use the right channel (Airbnb, Booking.com, SMS, or email)

Real-time notifications — Get alerts about new bookings, check-ins, maintenance issues, or guest messages directly in your preferred messaging app

Voice messages — Send voice notes on WhatsApp and Telegram, and the assistant will transcribe and respond appropriately

Common Use Cases

Quick status checks:

  • "What are today's check-ins?"
  • "Any maintenance tasks for Beach House?"
  • "Show me this week's revenue"

Guest management:

  • "Send WiFi password to the guest in room 5"
  • "What time is the Smith family checking out?"
  • "Has the guest at Alpine Lodge paid their security deposit?"

Property operations:

  • "Create a cleaning task for unit 3 after checkout"
  • "Unlock the front door at Sunset Villa"
  • "Block next weekend at Mountain Cabin for maintenance"

Team coordination:

  • "@Vanio update the team on today's turnovers"
  • "What properties need inspection this month?"
  • "Send arrival instructions to all today's check-ins"

Tips & Best Practices

Be specific with property names — If you manage multiple properties, mention the property name or address to get accurate information: "What's the occupancy rate at Beach House?"

Use group chats for team updates — Add the Vanio bot to your operations group chat so everyone can see property updates, task assignments, and guest communications in real-time.

Set up notification preferences — In Settings → Notifications, choose which alerts you want to receive in messaging apps vs. email to avoid overwhelming your chat.

Try voice messages — On WhatsApp and Telegram, voice messages are often faster than typing, especially for complex requests like "Create a maintenance task for the broken shower head in unit 4 and assign it to our plumber contact."

Use conversation threads — Keep related discussions in the same chat thread so the assistant maintains full context about ongoing issues or projects.

Common Questions

Can I use multiple messaging platforms at once? Yes, you can connect WhatsApp, Slack, and Telegram simultaneously. Your conversations and data sync across all platforms, so you can switch between them freely.

Is my property data secure in messaging apps? Yes, all communication is encrypted and your property data never leaves Vanio's secure servers. The messaging platforms only receive the responses you see — no underlying guest information or business data is shared.

Can I limit what the assistant can do through messaging? Yes, go to Settings → AI Assistant to set permissions for high-impact actions like processing refunds, canceling reservations, or unlocking doors. You can require dashboard confirmation for sensitive operations.
