Setting Up Igloohome Locks
Set up offline Igloohome smart locks with reliable PIN codes that stay the same even when you change reservation dates.
Setting Up Igloohome Locks
Igloohome is unique: its locks generate time-based codes entirely offline. No WiFi, no bridge, no hub. Vanio computes a code for each reservation and the lock accepts it based on the time window encoded in the code itself. That makes Igloohome the most reliable option for rural cabins, boats, storage spaces, and anywhere WiFi is unreliable.
Vanio connects to Igloohome directly via the official Igloohome API, so code generation is instant and you never depend on a third-party bridge.
What you'll need
- An Igloohome lock installed and set up in the Igloohome app
- Your Igloohome account email and password
Step 1 — Connect Igloohome
- In Vanio, go to Settings → Integrations.
- Under Smart Locks, click Connect.
- Select Igloohome from the provider list.
- You'll be redirected to Igloohome to sign in.
- Approve the permissions.
- You'll be sent back to Vanio with all your Igloohome locks automatically imported.
That's it. Unlike WiFi locks, there's no pairing, polling, or bridge to worry about.
Step 2 — Assign locks to listings
- Go to Settings → Smart Locks.
- Click a lock.
- Click Assign and pick the listing.
- Save.
One lock can serve multiple listings (shared entry) and one listing can have multiple locks (main door, garage, ski locker).
Why Igloohome works without WiFi
Every Igloohome code is a math puzzle. The lock knows a secret key and the current time. Vanio knows the same secret key. Given a reservation's check-in and checkout, both sides independently compute the same 9-digit code — no network call needed.
This means:
- Guests can arrive any time, even during power cuts. The lock runs on batteries.
- No bridge to maintain, no router to forward ports. Install the lock and walk away.
- Codes work exactly in their window. A code valid from Friday to Monday will refuse to open on Thursday or Tuesday. This is enforced by the lock itself.
Generating codes for guests
Vanio does this automatically. When a reservation is confirmed:
- Vanio computes the duration-based code.
- It schedules the code to be revealed to the guest (default: 24 hours before check-in).
- The guest sees the code in the arrival message, the guest portal, and the Vanio guest app.
- After checkout, the code simply stops working on its own. Nothing to delete.
You can override the timing per listing under Listings → [your listing] → Access.
Reservation date changes and your PIN codes
Your guest codes stay the same when you change dates. If you need to adjust a reservation's check-in or checkout time, Vanio preserves the original PIN code whenever possible. This means you won't need to send guests a new code just because you moved their stay by a day or changed the checkout time.
What happens automatically: When you modify reservation dates, Vanio updates the time window when that same code works — but keeps the 9-digit code itself unchanged. Your guest uses the same PIN they already received, just during the new date range.
Reliability improvements: Even if the lock takes longer than expected to process the date change, Vanio waits for confirmation and reuses your original code rather than generating a different one. This prevents confusion where guests might receive multiple codes for the same stay.

Check-in buffer timing
Vanio now activates codes at the exact minute you specify. If you set a 15-minute buffer before a 3:00 PM check-in, the code activates at 2:45 PM — not at 2:00 PM or right at 3:00 PM.
How it works: Your configured buffer time is honored precisely. For a 3:00 PM check-in with a 15-minute buffer, the code becomes active at exactly 2:45 PM and continues working through checkout. This gives guests the exact early access window you intended without granting unnecessary extra time.
Automatic backup system: If there are any technical issues with the lock service, Vanio automatically creates backup codes to ensure your guests can always access the property. You'll be notified if backup codes are used, but guests won't experience any disruption.

Staff access
Cleaners, owners, and maintenance get their own duration codes.
- Go to Settings → Team.
- Click a team member.
- Click Grant lock access.
- Pick a window — common options are "Any time this week", "Only during assigned tasks", or "Permanent".
- The staff member sees their code in the Vanio mobile app or receives it by SMS.
When you assign a cleaning task, Vanio automatically issues a short-window code that only works during the scheduled task, then stops.
Battery monitoring
Igloohome locks report battery status each time you interact with them through the app. Vanio surfaces this in two places.
- Settings → Smart Locks shows a battery icon and percentage next to each lock.
- When a lock drops below 20%, Vanio creates a maintenance task automatically and notifies your team. Batteries typically last 9 to 12 months under normal vacation-rental use.
Replace batteries before they die — a dead Igloohome lock still opens with the physical override key, but guests won't have that key.
Lock connectivity status
Vanio monitors whether your Igloohome locks are truly online and responding. The online/offline status in Settings → Smart Locks now accurately reflects your lock's real connectivity:
- Online (green dot): Your lock responded to the latest status check and can receive new codes
- Offline (red dot): Your lock is out of range from its bridge, has a dead battery, or isn't responding
If a lock shows offline, click the refresh button next to it to check again. The status will only change to online once your lock actually responds — not just when the bridge accepts the check request.
Why this matters: Previously, locks could appear online even when they weren't responding (like when out of Bluetooth range). Now you'll know immediately if a lock needs attention before your next guest arrives.

Common questions
Does Igloohome cost extra? No. The Igloohome integration is included in your Vanio plan.
What if a guest changes their check-in time last-minute? Vanio recomputes the time window immediately while preserving the same PIN code. As long as you modify the reservation in Vanio, the code stays the same but works during the new dates.
Will guests get confused by multiple codes if I change dates? No. Vanio keeps the same 9-digit code and just updates when it works. Guests use the same PIN they originally received, even after date changes.
Can guests lock themselves out? No. The code works for the full reservation window, multiple uses, unlimited entries.
What if I forget the master PIN? You manage the master PIN in the Igloohome app. Vanio never changes it.
Can I use Igloohome and Seam at the same time? Yes. Some managers have Igloohome on remote cabins and Seam-managed Yale locks on city apartments. Vanio handles both in one unified interface.
How precise is the check-in buffer timing? Codes now activate at the exact minute you set. A 15-minute buffer before 3:00 PM check-in means the code works starting at 2:45 PM, not earlier.
What happens if there are technical issues with my lock? Vanio automatically creates backup codes to ensure guests can always access your property. You'll be notified if backup systems activate, but guests won't be affected.
My lock shows offline but the bridge is connected. What's wrong? The lock itself may be out of Bluetooth range from the bridge, have a low battery, or need re-pairing in the Igloohome app. The online status specifically checks if the lock responds, not just the bridge.
What happens if the lock is slow to process my date changes? Vanio waits for confirmation from your lock and preserves the original PIN code rather than creating a new one. This prevents guests from receiving multiple different codes for the same stay.
