How it works
When you're working on a cleaning or maintenance job, you can document everything by simply sending photos as picture messages to the same number you get task offers from. There's nothing to download, no app to log into, no upload screen to wait on. Take the photo, hit send, and it's attached to your active task within seconds.
What's new: Vanio AI now analyzes your photos reliably and texts you back with instant feedback — while you're still at the property. Photo analysis has been improved to correctly identify and describe every image you send.
Sending a photo
- Take the photo with your phone's regular camera.
- Open your text messages.
- Find the conversation with the Vanio number (the same one that texted you the job).
- Attach the photo and send it like any picture message.
That's it. Vanio matches your photo to the next checklist item on your active task and runs AI verification.
What happens after you send
Within seconds, you get a text back:
- Passed — "Make the bed with fresh linens — Passed! Bed looks neatly made with fresh white linens, pillows arranged symmetrically."
- Needs attention — "Clean kitchen counters — Needs attention. Spots visible on counter near sink. Please wipe down and resend."
If something didn't pass, fix it while you're still there, take another photo, and send again. The AI re-checks and texts you the new result. No callbacks, no surprises later.
Improved photo analysis
Vanio now correctly identifies and describes every photo you send. The automated tagging and room detection features work as intended, so your property images are properly categorized and matched to the right checklist items. This means more accurate feedback and fewer photos being skipped or misidentified.
AI feedback in your language
If your preferred language isn't English, the AI feedback arrives translated. A Bulgarian cleaner gets the result in Bulgarian, a Spanish cleaner in Spanish. Both the original and translated versions are stored.
Sending multiple photos
You can send as many photos as you need:
- All in one message — attach several photos to a single MMS and send them together.
- One at a time — send them as separate messages. Each one is matched to the next checklist item that needs a photo.
How many photos to send
A good rule of thumb is two to three photos per room:
- One wide shot from the doorway showing the whole room
- One close-up of any area that needed extra attention (made bed, cleaned counter, polished mirror)
- One of anything unusual — damage, low supplies, something the host should know about
For a typical 2-bedroom turnover, that's around 12 to 18 photos. For a deep clean, more is better.
Photo guidelines
- Open the blinds and turn on the lights. Dark photos score lower in AI verification.
- Match the reference angle. If the host set a reference image for a checklist item, try to match the same angle — it helps the AI compare accurately.
- Hold the phone level. Blurry or crooked photos may fail verification.
- Skip personal items. Don't photograph guest belongings.
Reporting damage or issues
If you find damage, take a photo and add a short description in the same message:
"Tile cracked behind toilet in master bath — was already like this when I arrived."
The photo and your note are flagged on the task as an issue, so the host sees it right away.
Where photos show up
Every photo you send is added to:
- The task timeline — visible to the host in real time
- The checklist item — matched to the specific step it verifies, with the AI result
- The task report — shown as Expected vs. Approved with any previous attempts and rejection reasons
- The property history — searchable later
Common questions
What if AI says my photo failed but I think it's fine? Move on — the host can review and override. AI is a helper, not the final judge.
Do I have to retake every failed photo? No. You can skip and continue. But fixing issues while on-site means fewer callbacks and better ratings.
Do photos cost me anything? Just whatever your phone carrier charges for picture messages.
What if I send a photo to the wrong task? Text "wrong task" and Vanio will help you reattach it.
