If your host uses a PMS, connect through the Vanio app marketplace for the most complete reservation data.

Connect via PMS Integration

If you already use a property management system (PMS) — Hostaway, Hostfully, Guesty, Smoobu, OwnerRez, Lodgify, or another — Vanio can connect directly to it. Bookings, guests, pricing, and messages sync automatically in both directions.

If yours isn't on the list, check Settings → Connections — new integrations roll out often. For platforms we don't yet support directly, use iCal or email forwarding.

Connecting

Go to Settings → Connections
Click Add PMS
Pick yours from the list
Follow the sign-in prompts (you'll be taken to your PMS to authorize)
Vanio starts importing your properties and reservations

Initial import takes anywhere from 30 seconds to 10 minutes, depending on how much data you have.

What syncs

Properties — every active listing
Reservations — past, current, and future (plus cancellations)
Guests — names, emails, phone numbers (where the PMS exposes them)
Pricing — nightly rates, fees, totals
Messages — guest/host threads from Airbnb, Booking.com, VRBO
Check-in / check-out times
Availability calendars
Special requests — early check-in, late checkout, pet fees

Changes in either system (Vanio or your PMS) sync within seconds, so both stay in lockstep.

Mapping properties

The first time you connect, Vanio asks you to confirm how properties should be mapped. If you already have some listings in Vanio, you can merge them with the PMS import instead of creating duplicates.

What flows back to the PMS

Vanio pushes cleaning status, task notes, and damage reports back to the PMS so your existing dashboards stay accurate. Messages you send in Vanio also appear in the PMS thread.

Disconnecting

If you decide to switch, go to Connections → [PMS name] → Disconnect. Historical data is preserved — only the sync stops.

Common questions

Can I run Vanio and my PMS side by side? Yes. Many hosts use Vanio for operations (staff, cleaning, messaging, AI) and keep their PMS for channel management. Both stay in sync.

What if I get a double booking? Vanio flags conflicts immediately on the calendar view so you can resolve before it becomes a problem.

Does Vanio replace my PMS? It can — Vanio has its own channel manager (Repull) — but you don't have to migrate. Use what works for you.
