How It Works

Automatic Tracking

Vanio automatically captures every pricing change made to your properties, whether from:

  • Dynamic pricing recommendations
  • Manual adjustments you make
  • External pricing tool updates
  • Bulk actions you perform

This creates a complete audit trail without any extra work on your part. Your pricing data syncs reliably in real-time, ensuring you always see an accurate record of all price adjustments across your properties.

Reservation Pricing Audit Trail

In addition to property-level pricing history, Vanio now maintains a detailed audit trail for every individual reservation. Every time a reservation's pricing changes, a snapshot of the before and after is automatically saved. The types of changes captured include:

  • Reservation created — the original pricing at the time of booking
  • Date changes — when check-in or check-out dates are modified
  • Repricing — any manual or system-driven price adjustment
  • Add-on purchases — when a guest purchases an add-on (such as a pet fee or early check-in)
  • Add-on reversals — when an add-on is declined or refunded and the financials are corrected

All of this happens automatically. You never need to take any action to capture these records — they are saved the moment each change occurs.

Smart Recommendations

When you see pricing recommendations, the system shows:

  • Current price: What guests see today
  • Recommended price: AI-suggested optimal rate
  • Price difference: Clear indication of increase/decrease
  • Confidence level: How certain the system is about the recommendation

Bulk Processing

When you use bulk actions, Vanio processes all selected dates simultaneously. You'll see a progress indicator, and any individual dates that couldn't be updated (due to existing bookings, for example) will be flagged with an explanation.

Tips & Best Practices

Making Bulk Decisions

  • Review a few individual recommendations first to understand the pricing logic before bulk accepting
  • Use bulk actions for similar date ranges (like weekends or peak season) rather than random dates
  • Check for any existing bookings in your selected range—those dates will be automatically skipped

Using History Effectively

  • Review your pricing history monthly to identify patterns in your decision-making
  • Compare periods where you accepted vs. declined recommendations to measure performance
  • Export history data before major pricing strategy changes to track the impact
  • Trust the complete pricing record—all adjustments are now tracked reliably without gaps
  • Use the reservation pricing audit trail to verify the exact financial state of a reservation at any point in time, especially after date changes or add-on purchases

Maximizing Revenue

  • Accept recommendations during high-demand periods when the system shows high confidence
  • Use bulk declines sparingly—the AI learns from market data you might not see manually
  • Pay attention to the source column to understand which pricing changes performed best

Common Questions

Can I undo bulk pricing changes? Yes, for the first 24 hours after making bulk changes, you'll see an "Undo Recent Changes" option in your pricing history. After that, you can still manually adjust individual dates as needed.

Why do some dates get skipped during bulk actions? Dates with existing bookings, blocked availability, or special event pricing locks will be automatically skipped to protect your reservations. You'll see a detailed list of skipped dates and reasons after each bulk action.

How far back does pricing history go? Your complete pricing history is available from the day this feature was activated on your account. For most users, this includes several months of historical data that was automatically backfilled when the feature launched. Recent improvements ensure all future pricing changes are tracked without any gaps in the record.

What types of changes appear in a reservation's pricing audit trail? The audit trail captures every meaningful pricing event: the original price when the reservation was created, any date changes, manual or automatic repricing, add-on purchases (such as pet fees or late check-out), and any reversals when add-ons are refunded or declined. Each entry shows both the pricing before and after the change, so you always have a complete picture.

What if my pricing history seems incomplete? We've recently improved our price tracking system to ensure reliable data collection. If you notice any gaps in your historical data, these should resolve automatically as the enhanced tracking captures all future changes completely. For reservation-level history specifically, the full audit trail is now active and recording every change going forward.
