    • City-wide: Bookable by anyone visiting your city
    • Global: Available to travelers worldwide
  2. Add pickup details: Enter your exact pickup address, parking instructions, and any special notes. This location stays the same regardless of how broadly you offer the rental

How it works

Smart availability matching

When you set your rental's availability scope, Vanio automatically shows it to the right guests. A bike available "city-wide" appears for anyone booking in your city, while one set to "specific properties" only shows up for guests at those listings. Your pickup location remains consistent—guests know exactly where to collect the item regardless of where they're staying.

For you as the host

When you list a rental item, Vanio automatically handles the complex logistics. Your calendar syncs with your property bookings, and the system matches your rentals with appropriate guests based on your availability settings. Payment processing happens seamlessly through your existing setup, and you receive payouts on your normal schedule.

For your guests

Guests see relevant rentals during their booking process based on where they're staying and your availability settings. They can add rentals during property booking or later through their trip dashboard. For vehicle rentals, they'll upload their driver's license for automatic verification. Before pickup, they'll sign digital rental agreements and document the item's condition with photos.

At pickup and return

The system generates check-in instructions with your specified pickup location and any custom instructions you've provided. Guests photograph the item's condition using guided prompts, creating a record that protects both parties. At return, they repeat the process to document any changes.

Managing reservations

Viewing rental bookings in your dashboard

Your Dashboard → Reservations list now shows both property and rental bookings together, making it easy to manage your entire business from one place:

Colored badges: Each rental booking displays a colored badge (blue for vehicles, green for bikes, orange for equipment, purple for watercraft) so you can instantly distinguish them from property reservations • Rental photos: Bookings show the actual rental item's photo instead of your property thumbnail, making it easy to see which bike or car is booked • All booking details: View check-in/out dates, guest information, and payment status just like property reservations • Unified calendar: Rental bookings appear on your main calendar alongside property stays

This integration means you don't need to switch between different sections to see what's happening with your business on any given day. Whether it's a guest checking into your beach house or picking up a rental bike, everything appears in your familiar reservation workflow.

Tips & best practices

Photography that converts

Take photos in good lighting that showcase your item's best features. For cars, include interior shots, exterior angles, and any special amenities. For bikes and equipment, show the item clean and properly maintained.

Choosing the right availability scope

Start with "specific properties" if you want tight control over who can book your rental. Expand to "neighborhood" or "city-wide" to increase bookings if you're comfortable with the broader pickup logistics. Global availability works well for unique, high-value items that justify longer travel to your pickup location.

Pickup location best practices

Be as specific as possible with your pickup address and instructions. Include details like "Park in visitor spot #3" or "Ring apartment 2B, item stored in garage." Clear instructions reduce confusion and create smoother experiences that lead to better reviews.

Pricing strategy

Research local rental rates and price competitively. Consider offering bundle discounts when guests book multiple items or add rentals to longer property stays. Weekend rates typically command 20-30% premiums in tourist areas.

Location logistics

Many hosts use their property as the pickup point for property-specific rentals, creating convenient experiences for guests. For city-wide offerings, choose central, easily accessible locations with good parking. Always test your pickup instructions by having someone unfamiliar follow them.

Maintenance scheduling

Block calendar dates proactively for regular maintenance, cleaning, and repairs. Well-maintained items receive better reviews and command higher rates. Consider seasonal storage for items like bikes in harsh winter climates.

Guest communication

Use Vanio's automated messaging to send pickup reminders and instructions. Include your contact information for questions, but most guests find the self-service process straightforward with proper setup.

Managing multiple booking types

With rental bookings now appearing in your main reservations list, use the colored badges to quickly scan for upcoming pickups and returns. The visual distinction helps you prepare the right items and avoid confusion during busy periods.

Common questions

Can I rent items without owning properties on Vanio?
Currently, the rental marketplace is designed to complement property stays, though standalone rental businesses may be supported in the future. Contact support to discuss your specific situation.

What's the difference between availability scope and pickup location?
Availability scope determines who can see and book your rental (property guests, neighborhood visitors, city-wide, etc.), while pickup location is the physical address where guests collect the item. You might offer a bike city-wide but always have guests pick it up at your home address.

Can I change my availability scope after publishing?
Yes, you can adjust your availability scope anytime through Dashboard → Rentals → [Item] → Edit. Changes take effect immediately, though existing bookings aren't affected.

What happens if a guest damages my rental item?
Security deposits are automatically collected and held during the rental period. The condition photos create a clear record for any damage claims. Vanio's resolution center helps mediate disputes and process damage charges when necessary.

How do insurance and liability work for rentals?
You're responsible for maintaining appropriate insurance coverage for your rental items. Many standard policies don't cover commercial rental activity, so check with your insurance provider about commercial or rideshare coverage for vehicles, and business liability coverage for other equipment.

Will rental bookings clutter my reservation list?
No—the colored badges and rental photos make it easy to distinguish rental bookings at a glance. Most hosts appreciate seeing their entire business in one unified view rather than switching between different sections.
