Mark a Guest Checked Out

Close a stay yourself from the reservation view when the guest has left but never confirmed it — and undo it if you were too quick.

A stay is normally closed by the guest: they tap I've checked out in the guest portal, or reply 1 to the check-out reminder message. Either way the booking flips to Checked out, the cleaning task moves to today, and the property status changes to needs-clean.

Guests forget. When one has clearly gone but never confirmed it, you can close the stay yourself.

Marking a guest checked out

Open the reservation and look at the status badges at the top of the stay details — the same row that shows the platform, the confirmation code and Checked in. Once the stay is under way you will see a Mark checked out button there.

Selecting it asks you to confirm, because it does the same three things the guest's own confirmation does:

  • the booking reads as Checked out
  • the cleaning task for this reservation moves to today
  • the property flips to needs-clean, so it shows as ready to turn over rather than occupied

It is recorded on the reservation timeline under your name, so anyone on your team can see who closed the stay and when.

One thing it deliberately does not do: it does not send the guest anything. Marking someone out is your record-keeping, not the guest speaking, so the messages that normally follow a guest's own check-out confirmation stay silent.

Undoing it

If you closed a stay too early — the guest came back for a bag, or you had the wrong booking open — select the Checked out badge and choose Undo check-out.

Undo reopens the stay and recalculates the property status, so the property stops reading as departed.

Two things stay exactly as they are, and the confirmation says so before you commit:

  • The timeline keeps both entries. The check-out and the undo both remain, because the timeline is a record of what happened rather than a live status. Anyone reviewing the stay later can see the whole sequence.
  • The cleaning task keeps its new time. Undo does not push it back out. By the time you undo, a cleaner may already have been sent, arrived, or finished — quietly rescheduling the job out from under them would be worse than leaving it. If the clean should now wait, change its due date on the task itself.

Undo is safe to select twice; a stay that is already open simply stays open.

When the button does not appear

  • Before the stay starts. There is nothing to close on a booking that has not begun, so the control stays hidden until check-in day.
  • On a stay that is already checked out, you see the Checked out badge with undo instead of the mark button.
