Custom Pricing & Limits Management

Set personalized pricing and usage limits for individual customers without changing their subscription tier.

What it does

The Custom Pricing & Limits Management feature allows Vanio superadmins to set personalized pricing and usage limits for individual customers without changing their subscription tier. You can override monthly pricing, API request allowances, listing limits, and other tier-specific restrictions on a per-customer basis, with all changes automatically tracked for audit purposes.

How it works

When you set custom overrides, Vanio automatically applies them to the customer's account without requiring any action from them. Here's what happens:

Immediate application: All limit changes take effect as soon as you save, updating their available usage quotas in real-time.

Billing integration: Custom pricing overrides automatically sync with the payment processing system, ensuring accurate invoicing on their next billing cycle.

Usage tracking: The system continues monitoring their API calls, listings, and other usage against your custom limits, sending notifications when they approach or exceed thresholds.

Audit trail: Every change you make is logged with your admin account, timestamp, and the specific values modified, creating a complete history for compliance purposes.

Customer visibility: Customers see their effective limits in their dashboard without knowing whether they're from tier defaults or custom overrides, maintaining a seamless experience.

Key features

Flexible limit overrides: Modify any usage limit independently without changing the customer's subscription tier

Custom pricing: Set personalized monthly rates in multiple currencies for enterprise deals or special agreements

Tier reassignment: Move customers between tiers (Free, Starter, Custom) without affecting their billing relationship

Granular controls: Adjust specific limits like AI requests or dynamic pricing listings while keeping others at tier defaults

Clear comparison view: Side-by-side display of tier defaults, your overrides, and effective values makes it easy to understand what customers actually get

Audit documentation: Built-in notes field and automatic change tracking for compliance and internal documentation

Instant application: All changes take effect immediately without requiring customer action or system restarts

Easy removal: Delete all overrides at once to return customers to their standard tier settings

Tips & best practices

Document your decisions: Always add detailed notes explaining why you're setting custom overrides. This helps other team members understand special arrangements and makes audits easier.

Start with tier changes: Before setting individual limit overrides, consider whether simply changing their tier override (Free → Starter → Custom) meets their needs more cleanly.

Monitor usage patterns: Check the customer's historical usage in their profile before setting limits. Setting limits too low can cause service disruptions.

Use consistent pricing: When setting custom monthly prices, follow your organization's pricing guidelines and consider currency implications for international customers.

Review regularly: Set calendar reminders to review custom overrides quarterly, especially for temporary arrangements or trial periods.

Test with small changes: For major customers, consider making incremental adjustments rather than large jumps in limits to ensure their systems handle the changes smoothly.

Common questions

Q: Will customers be notified when I change their limits? A: No, customers don't receive automatic notifications about override changes. They'll see updated limits in their dashboard on their next login. You may want to proactively communicate significant changes.

Q: What happens if I delete all overrides for a customer? A: The customer immediately returns to their standard subscription tier limits and pricing. Any custom pricing stops at the end of their current billing cycle, and usage limits revert to tier defaults instantly.

Q: Can I set limits to zero to disable features? A: Yes, setting any limit to zero effectively disables that feature for the customer. Leave fields blank (not zero) if you want them to use the tier default instead.

Q: How do currency overrides work with international customers? A: Custom currency settings only affect display and invoicing format. The actual billing relationship and payment processing continue through their existing subscription method.
