Task Types — Who Sees Which Tasks

Choose which kinds of task each team member and each connected company can see, claim, express interest in or bid on — for example, keep your laundry company on laundry and your maintenance crew on maintenance.

What task types do

Every task in Vanio has a type: Cleaning, Turnover, Deep cleaning, Laundry, Maintenance, Inspection, Purchase, Communication, Documentation or Other.

Task types let you decide which of those each person and each connected company works with. A laundry company can be set to Laundry only. Your local operations company can have everything except Laundry. A cleaner can see cleaning jobs while someone else also gets maintenance.

Until you choose otherwise, everyone keeps seeing All task types — nothing changes for your team the day this setting appears.

What a limit covers

When someone is limited to certain task types, tasks of other types:

  • don't appear in their task list, calendar or schedule
  • can't be claimed, and they can't express interest in or bid on them in the marketplace
  • aren't offered to them by text, and aren't given to them by automatic assignment
  • aren't shown to them by Vanio AI — if they ask Vanio AI about a task outside their types, Vanio AI tells them it isn't one they can see

A limit never widens what someone can already reach. If a person only has access to some of your properties, task types narrow that further; they never add properties.

Set task types for a team member

  1. Go to Settings → Team & Groups and open the person.
  2. Under Task types, open the picker and tick the types they should work with. Choose All task types to remove the limit.
  3. Save.

People with a limit show a small badge next to their role in the team list, for example Laundry only.

Owners and admins always see every task type, so the setting doesn't appear for them.

You can also choose task types when you add a new team member.

Set task types for a connected company

  1. Go to Settings → Service Providers and find the company under Active Connections.
  2. Click Edit Access.
  3. Under Task types they can see and take, pick the types, then click Save task types.

Each connection shows its current choice, for example Task types: Laundry only. The limit applies to everyone who works from that company's workspace. The company can narrow it further for individual workers on their own team page, but can never go beyond what you allow.

The company sees your choice on their side too, next to the properties you share with them.

Tasks already assigned stay assigned

Changing someone's task types never takes work out of their hands. Tasks already assigned to them stay assigned and stay visible to them, even if they're outside the new types.

Assigning a task directly

You can still assign any task to anyone yourself. If a person's task types don't include that task, the assignee picker shows an Outside task types note next to their name. If you go ahead, they'll see that one task because it's assigned to them — nothing else outside their types opens up.

Common questions

Can I remove every task type from someone? No — pick at least one type. To stop someone receiving work altogether, deactivate them in Settings → Team & Groups, or pause the connection in Settings → Service Providers.

What about the "Other" type? Other is a type like any other. If you don't tick it, a person limited to Laundry won't see tasks marked Other.

Someone works both on my team and for a connected company. Which limit applies? Both. When they work from the connected company's workspace, they only see the types allowed on the connection and on their own profile.

What happens if a task's type changes after it's assigned? It stays with whoever holds it. New claims, bids and automatic assignments use the new type.
