Manage task-related expenses with a comprehensive approval system that tracks costs from submission through billing. Submit expenses for approval, review and approve or reject submissions, then automatically bill approved costs to your listing's accounting ledger.
Getting Started
Submitting an Expense
- Navigate to your task โ Go to Tasks and open any active task
- Find the Expenses section โ Look for the "Expenses" tab or section within the task details
- Click "Add Expense" โ This opens the expense submission form
- Fill in the details:
- Title: Brief description (e.g., "Plumbing supplies for bathroom repair")
- Amount: Enter the cost and select currency
- Category: Choose from maintenance, supplies, services, cleaning, or other
- Description: Add detailed notes about the expense
- Receipt: Upload a photo or scan of your receipt
- Submit for approval โ Click "Submit" to send the expense to your manager

Submitting an Expense on a Subtask
If you're adding an expense directly to a subtask, the property field is filled in automatically โ you don't need to select or enter it yourself. Vanio AI inherits the property from the parent task, so your expense is linked to the correct rental from the moment you create it.

Correcting an Expense from the Task Panel
Made a typo in an expense name or entered the wrong amount? As long as the expense hasn't been approved yet, you can fix it directly from the task panel โ no need to delete and re-enter it.
- Open the task โ Go to Tasks and open the task that contains the expense
- Find the expense โ Locate the expense in the Expenses section of the task panel
- Click the pencil icon โ A small pencil (โ๏ธ) icon appears next to any expense that's eligible to edit. Click it to open the inline edit form
- Make your corrections:
- Update the expense name in the name field
- Update the amount in the amount field
- Click "Save" โ Your changes are applied immediately. The expense continues through the normal approval workflow with the corrected details
- To cancel without saving โ Click Cancel or click the pencil icon again to close the form without making any changes
Who can edit: The pencil icon is only visible to managers and to the person who originally submitted the expense.
Which expenses can be edited: Only expenses in Submitted or Pending status can be corrected from the task panel. Once an expense has been approved, billed, or rejected, the pencil icon will not appear. If you need to correct an approved expense, a manager can first move it back to Submitted using the Un-approve button, and then edit it.

Approving Expenses (Managers)
You can approve expenses in two ways: directly from the dashboard without opening each expense, or by opening the expense for a full review.
Quick approval from the dashboard (new):
- Go to Expenses Dashboard โ Navigate to Tasks โ Expenses or use the main Expenses section
- Find a submitted expense โ In either Board or List view, locate any expense showing "Submitted" status
- Click "Approve" โ A small Approve button appears directly on the card or row. Click it to approve the expense instantly โ no need to open it
- The expense updates immediately โ It moves to "Approved" status right away

Full review before approving:
- Go to Expenses Dashboard โ Navigate to Tasks โ Expenses or use the main Expenses section
- Switch to Board View โ On desktop, use the visual Kanban board to see expenses by status
- Review submitted expenses:
- Click on any expense card to see full details
- Review the amount, description, and uploaded receipt
- Check that the expense relates to the associated task
- Make your decision:
- Approve: Click "Approve" to move the expense forward
- Reject: Click "Reject" and add a reason for the team member

Moving an Approved Expense Back to Submitted (Managers)
If you approved an expense by mistake, or need to revisit it before it's billed, you can undo the approval and return the expense to submitted status โ directly from the dashboard or from within the expense itself.
Quick un-approve from the dashboard (new):
- Go to Expenses Dashboard โ Locate the approved expense in either Board or List view
- Click "Un-approve" โ An Un-approve button appears directly on the card or row for any approved expense. Click it to immediately move the expense back to "Submitted" status
- The expense updates immediately โ The approval is cleared and the expense is ready for fresh review
- Re-approve when ready โ Once any necessary corrections are made, you can approve the expense again using the inline Approve button or from within the expense detail

From within the expense:
- Find the approved expense โ Locate the expense in the Approved column or filter by "Approved" status
- Click the undo icon โ On the expense row, click the undo (โฉ) icon. This button is only visible on approved expenses and only to managers
- Confirm the change โ The expense immediately moves back to "Submitted" status, clearing the approval so it can be reviewed again
- Re-approve when ready โ Once any necessary corrections are made, you can approve the expense again as normal
Note: You can only move an expense back to submitted while it's in "Approved" status. Once an expense has been billed, it cannot be undone.

How It Works
The expense system follows a clear four-stage workflow that you can track visually:
Submitted โ Approved โ Billed โ Complete
Managers can also move an approved expense back a step โ from Approved โ Submitted โ if a correction is needed before billing.
What Happens Automatically
- Expense tracking: Every expense gets a unique ID and timestamp
- Status updates: Team members see real-time status changes on their submissions
- Ledger integration: Approved expenses automatically post to your listing's accounting records
- Audit trail: The system tracks who approved, rejected, or billed each expense with timestamps
- Approval clearing: When an approved expense is moved back to submitted, the previous approval is automatically cleared so the expense can go through a fresh review
- Receipt storage: Uploaded receipts are securely stored and linked to the expense record
- Property association on subtasks: When you add an expense to a subtask, the correct property is automatically applied based on the parent task โ no manual selection needed
Visual Organization
Desktop: Use the Kanban board view to drag expenses between status columns and get a quick overview of your expense pipeline. Each expense card now shows the name of the linked task, so you can tell at a glance which job an expense belongs to โ without having to open it.
Mobile: Switch to the streamlined card list view that's optimized for smaller screens while maintaining all functionality.

Tips & Best Practices
For Team Members:
- Always upload clear photos of receipts before submitting
- Write descriptive titles that explain what the expense covers
- Submit expenses promptly while details are fresh in your mind
- Include the listing address or unit number in descriptions for multi-property managers
- If you notice a mistake after submitting โ like a wrong amount or a misspelled title โ look for the pencil icon next to your expense in the task panel and correct it before your manager reviews it
- When adding expenses to subtasks, confirm the pre-filled property is correct before submitting โ it should match the property shown on the parent task
For Managers:
- Set up regular review times to prevent expense backlogs
- Use the task name shown on each board card to quickly identify which job an expense belongs to โ no need to open the expense just to orient yourself
- Use the inline Approve button on board cards and list rows to process straightforward expenses quickly โ save the full-detail view for expenses that need a closer look
- Use bulk approval for routine, pre-approved expense types
- Add clear rejection reasons to help team members improve future submissions
- Check that expenses align with the associated task scope and budget
- Use the inline Un-approve button โ or the undo icon inside the expense โ to move an approved expense back to submitted if you catch an error before billing. You can then use the pencil icon in the task panel to correct the name or amount before re-approving
- Use filters to focus on specific properties or time periods during review
Organization:
- Establish expense limits that require pre-approval for larger purchases
- Create standard categories that match your accounting system
- Use the date range filters for monthly expense reviews and reporting
- Export data regularly for backup and integration with external accounting tools
Common Questions
Can I edit an expense after submitting it? Yes โ if the expense is still in Submitted or Pending status, you can correct the name or amount directly from the task panel. Just click the pencil icon next to the expense, make your changes, and click Save. The pencil icon is only visible to the person who submitted the expense and to managers. If the expense has already been approved, billed, or rejected, the pencil icon won't appear โ a manager would need to un-approve it first before it can be edited.
What happens to rejected expenses? Rejected expenses return to "Submitted" status and can be edited and resubmitted. You'll see the manager's rejection reason to help you make necessary corrections.
Can a manager approve or un-approve an expense without opening it? Yes. In both Board and List views, a small Approve button appears directly on any submitted expense card or row, and an Un-approve button appears on any approved expense. Clicking either button updates the expense instantly โ no need to open the full detail view. These buttons are only visible to managers, owners, and admins.
Can a manager undo an approval after approving an expense? Yes. Managers can use the inline Un-approve button on the dashboard, or click the undo (โฉ) icon inside the expense detail, to move any approved expense back to "Submitted" status. This clears the approval so the expense can be reviewed and re-approved โ useful if an expense was approved in error or needs a second look before billing. This is only available before the expense has been billed; billed expenses cannot be reversed from within the expense workflow.
How quickly do approved expenses appear in my listing's accounting? Once a manager clicks "Bill" on an approved expense, it immediately posts to your listing's ledger. You can see this reflected in your financial reports right away.
Why is a property already selected when I add an expense to a subtask? Vanio AI automatically links the expense to the same property as the parent task. This keeps your expense records organized and saves you from having to look up and enter the property yourself. If the pre-filled property doesn't look right, check the parent task's property assignment or contact your manager.
Why does an expense card show a task name in the board view? Each expense card now displays the name of the task it's linked to, directly on the card. This makes it easy to tell apart multiple expenses on the same property โ for example, two supply expenses for different jobs โ without having to open each one. If an expense isn't linked to a task, no task name will appear on the card.
