Smart Reservation Watchdog
The Smart Reservation Watchdog monitors every guest conversation and steps in when a reply is overdue — proposing a plan for assigned conversations and acting autonomously on unassigned ones, with a reliable in-thread action bar that only appears when something genuinely needs your attention.
Vanio AI watches every guest conversation for you. When a message sits without a reply for too long, the Smart Reservation Watchdog steps in — but how it helps depends on whether you (or a teammate) own the conversation. Your guests always get a timely response, and your team always stays in control.
Getting started
The Smart Reservation Watchdog is on by default. Before you rely on it, take a few minutes to confirm your settings:
- Go to Settings → Policies & Autonomy.
- Review what Vanio AI is allowed to do on your behalf — for example, how much it can refund, which situations it can resolve on its own, and which it should escalate to you.
- Go to Settings → Team & Notifications and confirm that each team member has a current phone number or notification destination so approval requests reach them instantly.
- Make sure conversations are assigned to the right team members. The watchdog behaves differently depending on whether a conversation is assigned or unassigned (see below).
- Save your changes. The watchdog picks up your updated rules on the next check.

How it works
When a conversation is assigned to someone
If a message is assigned to a team member and they go quiet past the response window, Vanio AI doesn't take over behind their back. Instead, it sends them a notification with exactly what it would do — a concrete plan, not a vague offer.
For example:
- *"Approve Vanio takeover? — Here's exactly what Vanio AI would do: send the Airbnb date change Jun 22 → Jul 8."
- *"Approve Vanio takeover? — Here's exactly what Vanio AI would do: refund $100 for the late-checkout charge."
The assignee has one decision to make: tap Approve, and Vanio AI carries out that exact plan immediately. Or they can ignore the notification and handle the guest themselves — the conversation stays theirs, and nothing happens without that tap.
While the approval is pending, Vanio AI automatically sends the guest a short holding note so they know someone is on it. Your guests never see dead air just because a team member stepped away.

When a conversation is unassigned
If a message isn't assigned to anyone, there's no one to wait for. Vanio AI handles it autonomously right away, staying inside the rules you set in Policies & Autonomy. No approval step, no delay.
The in-thread action pill
When the watchdog has a live suggestion waiting for your review, a slim action bar appears directly above the message composer — so you can act without navigating anywhere else.
The bar only appears when there is a genuine proposed action for you to consider. It will not appear on conversations the watchdog has already handled on its own, or on flags that have already been approved or dismissed — so if you don't see it, there's nothing waiting on you.

The bar shows three one-tap options:
- Approve AI — confirms Vanio AI's proposed plan and lets it act immediately, just like tapping Approve in a notification.
- Reassign — opens a short menu so you can hand the conversation to Vanio AI or take it yourself.
- Dismiss — marks the message as handled and removes the flag. Use this when the guest's message needed no reply (for example, they sent a follow-up thank-you after you already answered) or when you've handled things outside the platform.
Once you tap any of these, the action bar disappears and the conversation carries on normally.
Fewer false alerts
The watchdog now recognises when a guest's last message is simply closing the conversation — a "Thanks!", "Got it 👍", "Well noted, thank you", or similar acknowledgment — and will not alert you when your answer is already in the thread. You'll only be paged when a message genuinely needs a response.
If a closer does slip through and the watchdog flags it anyway, just tap Dismiss in the in-thread action bar to clear it in one tap.
Key features
- Propose, then act (assigned conversations). Vanio AI tells the assignee exactly what it plans to do and waits for a single tap before acting. You always know what's going to happen before it does.
- Autonomous action (unassigned conversations). No assignee means no waiting. Vanio AI resolves the conversation immediately within your policy limits.
- In-thread action pill. When the watchdog has a live proposal waiting for your review, Approve AI / Reassign / Dismiss controls appear right above the composer so you never have to leave the conversation to act on a watchdog alert. The pill only shows when there's something that genuinely needs your attention — it won't appear on flags that are already handled or that Vanio AI has already acted on autonomously.
- Reliable dismiss. Tapping Dismiss in the action bar now always clears the flag immediately. The action bar disappears as soon as you tap it.
- Smarter alert filtering. Thank-yous, acknowledgments, and conversational closers are automatically recognised as needing no reply, so you receive fewer unnecessary pings.
- Holding acknowledgment for guests. The moment a message is flagged and approval is pending, the guest receives an acknowledgment so they're never left wondering. This happens automatically — you don't need to do anything.
- Severity-aware response windows. Not every message can wait the same amount of time. The watchdog uses four urgency tiers:
- Safety & security — anything that sounds like an emergency (smoke, a guest locked out, a break-in) triggers the shortest timer and the loudest alert.
- Urgent — time-sensitive issues that need a fast but not immediate response.
- Same-day — guests arriving or departing today can't wait; these get a tight window automatically.
- Routine — standard questions keep the normal response window.
- Rising escalation until resolved. If a message still hasn't been handled after the first nudge, Vanio AI raises the urgency, notifies more people, and re-routes to your wider team. The situation always moves toward resolution — never toward silence.
- Your rules, every time. Everything Vanio AI is allowed to do — with or without approval — comes from your Policies & Autonomy settings. Set them once and the watchdog respects them on every single conversation.
Tips & best practices
- Keep conversations assigned. An unassigned conversation gets resolved autonomously. If you want a human in the loop, make sure conversations are assigned to someone as soon as they come in.
- Check your notification settings. The one-tap approval only works if the notification reaches the assignee. Confirm mobile notifications are enabled for every team member under Settings → Team & Notifications.
- Tune your policy limits periodically. As your property portfolio or team changes, revisit Policies & Autonomy to make sure the watchdog's autonomy still matches what you're comfortable with.
- Trust the holding message. When approval is pending, the guest is already being looked after. You don't need to send a manual acknowledgment — Vanio AI has it covered.
- Use the in-thread pill for speed. When you're already reading a flagged conversation, Approve AI or Dismiss right there saves you a round-trip to your notification inbox.
- Dismiss freely on thank-yous. If a guest sends a closing message and the watchdog flags it, a single tap on Dismiss clears it instantly. The watchdog already suppresses most of these automatically, but Dismiss is always there as a quick safety valve.
- No action pill? Nothing to do. If you open a conversation and don't see the action bar, it means the watchdog has either already handled it autonomously or a previous action (approve or dismiss) has already been taken. You're all caught up.
- Use severity context in your listing notes. The watchdog categorizes urgency automatically, but the more context your team adds to listings (entry codes, emergency contacts), the better Vanio AI can act if it needs to step in.
Common questions
What happens if the assignee never taps Approve? The watchdog doesn't just give up. If the approval notification goes unanswered, Vanio AI escalates — raising the urgency level and notifying a wider group of team members — until someone acts or the issue is resolved another way.
Can Vanio AI do something I haven't authorized? No. Every action Vanio AI takes — whether it's acting autonomously on an unassigned conversation or carrying out an approved plan — is bounded by the limits you've configured in Policies & Autonomy. If a situation falls outside those limits, Vanio AI escalates to a human rather than acting on its own.
Will the guest know they're receiving an automated holding message? The holding message is written to sound natural and reassuring. Its exact wording follows your communication style settings. The guest knows someone is looking into their issue — that's all they need to know while your team gets to work.
Why am I seeing fewer watchdog alerts than before? The watchdog now automatically skips guest messages that are simply closing the conversation — things like "Thanks!", "Perfect, got it", or a thumbs-up emoji sent after you've already answered. These don't need a reply, so the watchdog no longer flags them. If you believe a message was incorrectly skipped, you can always reply manually from the conversation as normal.
Why does the in-thread action bar sometimes not appear even though I can see a watchdog flag in the conversation history? The action bar only shows when there is an active proposal waiting specifically for your review. If the watchdog has already acted on the conversation autonomously, or if the flag was previously approved or dismissed, there's nothing left for you to do — so the bar stays hidden. This is by design: no bar means no action needed.
What's the difference between Dismiss and Reassign? Dismiss tells the watchdog the flagged message needs no reply and closes the alert — use it for thank-yous or messages you've already handled elsewhere. Reassign keeps the alert active but transfers responsibility: choose Assign to Vanio AI to let Vanio handle it autonomously, or Assign to me to take personal ownership of the conversation.
