Viewing Other Tasks Happening the Same Day at a Property

See all other incomplete tasks due the same day at the same property, right from the task detail pane.

What It Does

When you open any task in Vanio AI, you'll now see a dedicated "Also at this property on [date]" section that lists every other incomplete task due that same day at the same property. This gives you an instant snapshot of everything that needs attention before you start working, so nothing slips through the cracks on busy turnover days. Click any task in the list to jump straight to it without losing your place.

Getting Started

There's nothing to set up — this section appears automatically whenever there are other incomplete tasks sharing the same property and due date as the task you're viewing.

  1. Open your task list. From the main navigation, go to Tasks.

  2. Select a task. Click any task to open the task detail pane on the right side of the screen.

  1. Look for the "Also at this property" section. Scroll down within the task detail pane. If other incomplete tasks are due at the same property on the same day, you'll see them grouped under the heading "Also at this property on [date]".

  1. Click any listed task to open it. Selecting a task from this section switches the detail pane to that task. Your position in the task list stays exactly where it was.

How It Works

Every time you open a task, Vanio AI automatically checks whether that property has any other incomplete tasks with the same due date. If it finds any, they appear in the "Also at this property on [date]" section — no filtering or searching required on your part.

A few things to know about what shows up:

  • Only incomplete tasks appear. Once a task is marked complete, it drops off the list. The section always reflects what still needs to be done today.
  • The list updates in real time. If a colleague completes one of the listed tasks while you're working, it disappears from the section automatically the next time the pane refreshes.
  • The section only appears when relevant. If a task is the only one due at that property that day, the section simply won't show — keeping the pane clean and uncluttered.
  • Switching tasks is seamless. Clicking a task in the list opens it in the same detail pane. You don't navigate away from your current view or lose your scroll position in the task list.

Key Features

  • Same-day, same-property grouping — Tasks are matched by both property and due date, so you only see what's genuinely relevant to that location right now.

  • Incomplete tasks only — The list stays focused on what still needs action. Finished work never clutters the view.

  • One-click task switching — Jump between related tasks instantly without going back to the full task list or using search.

  • Always up to date — The section reflects the current state of tasks, so what you see is accurate to the moment you're viewing it.

  • Works for all task types — Cleaning, inspection, maintenance, concierge, and any other task category all appear together when they share a property and date.

Tips & Best Practices

Use it as a pre-shift briefing. Before your team heads to a property, open one of the day's tasks and review the "Also at this property" list together. It takes seconds and ensures everyone knows the full scope of the day's work at that location.

Coordinate handoffs between roles. If a cleaner finishes and notices a maintenance task is also due that day, they can click it right from the pane to check the details — no need to search or ask a manager.

Spot scheduling pile-ups early. If you open a task and see a long list of same-day tasks at the same property, that's a signal the day may be more demanding than expected. Adjust assignments or timing before the day begins rather than discovering the crunch mid-shift.

Check due dates when creating tasks. Since tasks group by due date, setting accurate due dates when creating tasks is more important than ever. A task due "today" at a property will show up for everyone working there that day — helpful if that's intentional, distracting if it's a scheduling error.

Mark tasks complete as you go. Because the section only shows incomplete tasks, finishing tasks promptly keeps the list tidy and helps teammates see an accurate picture of what's left.

Common Questions

Does this section show tasks from other properties too? No. The list is scoped strictly to the same property as the task you're viewing. Tasks at other properties — even if they're due the same day and assigned to the same person — won't appear here.

What if a task has no due date set? Tasks without a due date won't appear in the "Also at this property" section. The matching is based on the specific due date of the task you're viewing, so undated tasks are excluded. This is another reason to make sure tasks have accurate due dates when you create them.

Can I see completed tasks in this section? Not at this time. The section intentionally shows only incomplete tasks to keep your focus on what still needs attention. If you need to review completed work for a property, you can use the task list filters to view completed tasks by property and date.
