What it does

Automated Lead Discovery continuously finds new property management companies that could benefit from your services and adds them directly to your prospect pipeline. The system searches across vacation rental platforms, business directories, and other sources to identify companies managing short-term rentals, then instantly matches them with potential co-hosts and hosts so your outreach team can start building relationships immediately without waiting for manual processing.

Getting started

Step 1: Enable discovery sources

  1. Go to Settings → Lead Generation
  2. In the "Discovery Sources" section, toggle on the sources you want to use:
    • Google Places — Finds PMCs listed in Google's business directory
    • Vacation Rental Sites — Discovers companies advertising on major platforms
    • Business Directories — Scans industry-specific listings
  3. Set monthly spending limits for paid sources (optional but recommended)
  4. Click Save Settings

Step 2: Review your prospect pipeline

  1. Navigate to Prospects → All Prospects
  2. Use the filter dropdown to view "Recently Discovered" prospects
  3. Review the automatically-generated prospect profiles with their matched hosts and co-hosts
  4. Approve high-quality prospects to move them into your active nurture sequences

Step 3: Set up automated workflows (optional)

  1. Go to Marketing → Automation
  2. Create email sequences for discovered prospects
  3. Set quality score thresholds for automatic enrollment
  4. Customize messaging based on company size or market focus

How it works

Once enabled, the discovery system runs automatically in the background:

Daily scanning: The system searches your selected sources for new property management companies, focusing on businesses that show signs of managing vacation rentals or short-term properties.

Instant matching: As soon as a new prospect is discovered, the system automatically identifies and matches them with potential co-hosts and hosts in your network, eliminating any delay in your outreach pipeline.

Smart enrichment: Each discovered company gets automatically researched — we gather their website details, social media profiles, estimated company size, and technology stack to build a complete prospect profile.

Quality scoring: Every prospect receives a quality score (0-100) based on factors like website quality, property portfolio size, current technology usage, and market alignment with your ideal customer profile.

Automatic filtering: Only prospects meeting minimum quality thresholds appear in your pipeline, so you focus on the most promising opportunities.

Duplicate prevention: The system automatically identifies and removes companies you're already working with or have contacted before.

You'll see new prospects appearing in your dashboard with their matched connections within 24-48 hours of enabling discovery sources. High-scoring prospects (70+ points) are highlighted for immediate attention.

Traffic monitoring

From the superadmin dashboard, you can monitor visitor activity and lead generation across all four Vanio AI products:

  1. Navigate to Superadmin → Traffic Monitoring
  2. Use the product filter dropdown to view activity for specific products:
    • Vanio AI — Core vacation rental management platform traffic
    • Atlas — Property analytics and market insights visitors
    • Repull — Listing optimization tool activity
    • FantasticStay — Guest experience platform traffic
  3. View visitor counts, conversion rates, and lead quality by product
  4. Filter by country, date range, and traffic source for detailed analysis

Tips & best practices

Start small: Begin with free discovery sources (Google Places) to test the system before enabling paid sources. This lets you evaluate prospect quality and refine your preferences.

Set realistic budgets: Paid sources typically cost $0.10-0.50 per prospect discovered. Start with $50-100 monthly budgets and adjust based on results.

Review quality scores: Focus your outreach efforts on prospects scoring 60+ points. Lower-scoring prospects may still be valuable but require more qualification.

Act on fresh matches: Since prospects are now matched with hosts immediately upon discovery, prioritize reaching out to newly discovered prospects while the connection data is most current.

Customize your ideal customer profile: The better you define your target market in Settings, the more accurate the quality scoring becomes.

Monitor discovery performance: Check your Discovery Dashboard weekly to see which sources are generating the highest-quality prospects for your business.

Track cross-product performance: Use the traffic monitoring dashboard to identify which Vanio AI products (Vanio AI, Atlas, Repull, or FantasticStay) are generating the highest-quality prospects for your specific market.

Combine with manual research: Use automated discovery to find prospects, then do additional manual research on high-scoring companies before reaching out.

Set up approval workflows: For team environments, require manager approval before discovered prospects enter active nurture sequences.

Common questions

How many new prospects can I expect? Typically 50-200 new qualified prospects per month, depending on your target markets and enabled discovery sources. Larger markets and broader targeting generate more prospects.

Are the contact details accurate? We validate all email addresses before adding them to your pipeline and continuously update contact information. Email deliverability rates typically exceed 95% for discovered prospects.

How quickly are prospects matched with potential connections? Prospects are matched with potential co-hosts and hosts instantly as they're discovered. You'll see these connections immediately when viewing the prospect profile, so your outreach team can start building relationships right away.

Can I pause discovery for specific regions? Yes — go to Settings → Lead Generation → Geographic Filters to exclude specific cities, states, or regions from discovery efforts. This is useful if you're at capacity in certain markets or want to focus expansion efforts strategically.

What's the difference between traffic from different Vanio AI products?
