Giving an Owner Access to Reports

You can let an individual property owner view reporting for the listings you manage on their behalf — without giving them access to anything else in your workspace. It is a single per-owner toggle, and it is off by default, so owners only ever see reports when you deliberately turn this on for them.

What the owner gets

When you enable reports access for an owner, two reports become available to them:

• Portfolio Performance — performance, occupancy, and revenue trends across their properties.
• Owner Statement — the earnings statement showing revenue, fees, and payouts.

Both reports are strictly scoped to that owner's listings only. An owner can never see another owner's numbers, and they never see workspace-wide or operator-only reporting. Everything they open is filtered to the properties you've assigned to them.

How to turn it on

1. Go to Settings → Owners.
2. Open the owner you want to grant access to.
3. Turn on the Reports access toggle.

With it on, a Reports section appears in that owner's navigation the next time they sign in. With it off (the default), the Reports section is hidden from them entirely.

How access is enforced

Reports access is enforced across the entire platform — not just in the navigation menu. This means:

• An owner without the Reports access toggle enabled cannot view revenue, payments, or any other financial report data, regardless of how they try to reach it.
• An owner with the toggle enabled can only see data for their own listings. Their access is scoped and verified every time they request report data.
• This applies to all reports: portfolio performance, owner statements, payments, and any other financial data in the platform.

You do not need to do anything extra to benefit from this protection — it happens automatically as soon as you save the owner's settings.

Note: A small number of owners may have been granted listing-scoped reports access through a previous arrangement. Those owners retain access to reporting for their specific assigned listings only, consistent with how their access was originally set up.

When to use it

• Owners who want self-serve visibility into how their properties are doing, without emailing you for numbers.
• Owners you send a monthly statement to — let them pull it themselves any time.

Keep it off for owners who don't need the detail, or where you prefer to share a curated update yourself.

Tips & best practices

• Review your owner list periodically. Since access is off by default, you're always in control of who can see financial data. A quick review every few months ensures you haven't left access on for owners who no longer need it.
• Pair it with a conversation. When you turn on access for the first time, let the owner know — they'll appreciate the heads-up and be more likely to actually use it.
• Keep it off by default for new owners. Add them to your workspace first, get the relationship established, and then enable reports when you're both ready.

Common questions

Can an owner see report data for listings that aren't theirs? No. Even with Reports access enabled, an owner's view is strictly limited to the listings assigned to them. They cannot see data belonging to other owners or your workspace as a whole.

What happens if I turn off Reports access for an owner who already has it? The Reports section disappears from their navigation immediately, and they lose access to all report data right away. There is no delay — the change takes effect as soon as you save.

Can an owner find a way around the Reports access restriction? No. Access is enforced at the platform level, not just in the menu. An owner whose Reports access toggle is off cannot reach financial report data through any means — the restriction applies everywhere, automatically.
