Connecting Booking.com
Vanio is a Booking.com connectivity partner, so once connected, your reservations, messages, calendar, and reviews all flow into Vanio in real time. AI can reply to Booking.com guests directly in Booking's own messaging system, and codes, payments, and tasks all work the same as on any other channel.
How the connection works
Vanio supports two connection paths depending on your Booking.com account type.
- OAuth (recommended). One-click connection using your Booking.com Extranet login. Works for most hosts and managers.
- Property ID pairing. For accounts that aren't OAuth-eligible, Booking.com sends a pairing request to your Extranet and you accept it there. Vanio support helps with this route if you need it.
Step 1 — Connect
- In Vanio, go to Settings → Integrations.
- Find Booking.com and click Connect.
- Click Sign in with Booking.com.
- Log in to your Extranet. If you manage multiple properties, pick the ones you want to sync.
- Approve the permissions. You'll be redirected back to Vanio.
Your Booking.com properties appear immediately under Settings → Listings, each marked with the Booking.com badge.
Step 2 — Match properties to Vanio listings
If you already have listings in Vanio (from Airbnb, your direct website, or a PMS import), match them up so both channels point to the same property.
- Go to Settings → Listings.
- Click an unmatched Booking.com property.
- Pick Link to existing listing and select the matching Vanio listing from the picker.
- Save.
Note: The listing picker only shows your active properties. If you're looking for a listing and don't see it, check that it's set to active in Settings → Listings before coming back to complete the mapping.
Brand new properties that only exist on Booking.com can be imported as fresh listings with one click — Vanio pulls in photos, amenities, descriptions, and pricing.
If a property can't be imported
When importing Booking.com properties, Vanio protects each property so it can only belong to one workspace at a time. If a property you're trying to import is already connected to a different Vanio workspace, the import will not complete for that property and you'll see a "Property already connected" notice in the results summary.

The summary tells you how many properties imported successfully and lists any that couldn't be brought in. If you see this notice and believe it's an error — for example, if your team manages the same property across multiple accounts — contact Vanio support so they can investigate.
Note: Properties that import successfully are listed alongside a count of how many were processed. Only properties with an error are flagged; the rest connect normally.
What syncs
Once connected, Vanio keeps the following in sync, both directions where possible.
- Reservations. New bookings appear instantly with full guest details, pricing, and special requests.
- Calendar availability. Blocking dates in Vanio blocks them on Booking.com and vice versa, so you'll never get a double booking.
- Guest messages. All Booking.com thread messages flow into the Vanio inbox. Replies go back through Booking.com's secure messaging.
- Reviews. Guest reviews on Booking.com appear in Vanio's reviews section, and you can reply to them from there.
- Cancellations and modifications. Any changes on Booking.com — date changes, guest count updates, cancellations — reflect in Vanio within seconds.
How AI handles Booking.com messages
Booking.com guests chat inside Booking's own messaging system. Vanio's AI reads every message, understands the context (reservation, listing, guest history), and replies in Booking.com within seconds. The AI can:
- Answer check-in and amenity questions
- Send directions and arrival instructions
- Handle payment and damage deposit questions
- Escalate to you when it's unsure
Everything AI sends is visible in your inbox with a small "AI" badge so you can review, edit, or take over anytime.
Pre-arrival registration codes
Booking.com is unique in that guests often need to complete pre-arrival registration for tax and police reporting (common in Europe). Vanio handles this automatically.
- In Settings → Guest Verification, enable Pre-arrival registration.
- Choose what to collect — ID scan, selfie, address, arrival time.
- Vanio sends the guest a registration link right after the Booking.com reservation lands.
- When the guest completes it, Vanio generates the police or tourism-authority report and lets you download it.
The smart lock code is only revealed after the guest completes registration, so you're always compliant before they arrive.
Property authorization alerts
Vanio monitors the Booking.com connection for each of your properties daily. If Booking.com revokes access to a specific property — for example, because the host's authorization lapsed — your team will receive an immediate Slack notification.
What this alert means. A property authorization alert is not a sign that your Booking.com account credentials are broken. It means that one specific property is no longer authorized to connect through Vanio. Your other properties and your Booking.com account itself are unaffected.
What to do when you receive the alert
Resolving the alert is now a single step: the host re-grants access in the Booking.com Extranet. Vanio detects the restored access automatically and reconnects the property on its own — no action is needed in Vanio and no support ticket is required.
Re-grant access in the Booking.com Extranet
- Ask the host to log in to their Booking.com Extranet.
- Go to Account → Connectivity provider.
- Find Vanio in the list and re-grant access.
Once the host completes that step, Vanio will detect the restored access and automatically bring the property back online. Reservations, calendar availability, and messaging for that property will resume normally without any further action on your part.

How automatic restoration works. Vanio runs a daily check that looks at properties that have been disconnected and tests whether access has been restored. As soon as a property responds successfully — meaning the host has re-granted access in their Extranet — Vanio removes the disconnected status and resumes syncing. Only a confirmed successful response restores the property, so a temporary Booking.com outage will never incorrectly reconnect or disconnect properties.
Until the host completes the re-grant step, Vanio cannot read or verify bookings for the disconnected property.
Alert frequency
Vanio sends an immediate notification when a property is first disconnected. Reminder notifications follow on a recurring schedule for properties that remain disconnected. Once a property is restored — either automatically after the host re-grants access, or because the issue resolves itself — reminders stop for that property.

Common questions
Does Booking.com charge extra for the connection? No. Vanio is a certified connectivity partner and the integration is free on Booking's side.
Will guests know they're chatting with AI? Only if you tell them. Replies go through Booking.com's normal channel under your account name.
What about virtual credit cards? Booking.com often provides virtual cards for payments. Vanio detects these automatically, charges them at the right time per Booking.com's rules, and flags any declines.
Can I disable the connection temporarily? Yes. Go to Settings → Integrations → Booking.com and click Pause sync. Calendar sync continues so you don't double book, but messaging and new-reservation import stop.
How do I disconnect entirely? Click Disconnect on the same page. All historical data stays in Vanio; only the live link is removed.
Why did one of my properties show a "Property already connected" error during import? Each Booking.com property can only be connected to one Vanio workspace at a time. If a property is already active in another workspace, Vanio will decline to import it and flag it in the results. The remaining properties in the same import will still connect normally. Contact Vanio support if you need help resolving a conflict.
My team received a property authorization alert — does this affect all our properties? No. The alert applies only to the specific property named in the notification. Your Booking.com account and all other connected properties continue working normally. Ask the host to re-grant access in their Booking.com Extranet under Account → Connectivity provider — Vanio will detect the change and restore the property automatically.
Do I need to contact support to reconnect a disconnected property? No. Once the host re-grants access in the Booking.com Extranet, Vanio restores the connection automatically. You do not need to take any action inside Vanio, and you do not need to contact support.
I can't find a listing in the property picker when setting up my Booking.com mapping. What should I do? The property picker only shows active listings. Go to Settings → Listings, find the listing you need, make sure it's set to active, and then return to complete the mapping.
