Airbnb Integration & Sync Status
How to connect your Airbnb account, understand sync status chips, and respond to connection health alerts when Vanio AI can no longer read your calendar, pricing, or availability.
Vanio AI connects directly to your Airbnb account to keep your listings, reservations, pricing, and availability in sync โ automatically. This guide explains how to connect your account, what the sync status indicators mean, what to do if a sync doesn't go as planned, and how you'll be notified if Vanio AI can no longer read your calendar or pricing data.
What It Does
Once you connect your Airbnb account, Vanio AI regularly pulls in your properties, bookings, guest details, pricing, and availability so everything stays up to date in one place. The sync status chip on your account card tells you at a glance whether the last sync went smoothly, partially, or needs your attention. If Vanio AI detects that it can no longer read your calendar, pricing, or availability data, you'll now receive a Slack alert explaining exactly what went wrong โ so you can act before guests are affected.
Getting Started
Connect Your Airbnb Account
- Go to Settings in the left-hand navigation menu.
- Under Apps & Integrations, select Airbnb.
- Under Connect Airbnb Account, click Connect Airbnb.
- Follow the prompts to authorize Vanio AI to access your Airbnb account.
- Once connected, your account will appear in the Airbnb section with a status chip showing the result of your first sync.

Tip: If you manage multiple Airbnb accounts, you can connect each one separately. Each account gets its own sync status chip.
How It Works
After your account is connected, Vanio AI runs syncs in the background โ no action needed from you. Each sync:
- Pulls in your listings so your properties are visible and manageable inside Vanio AI.
- Imports reservations with accurate guest counts, pricing, and booking status.
- Refreshes pricing and availability so your calendar reflects what's real on Airbnb.
- Syncs messages so your guest conversations are in one place.
- Respects your amenity choices โ if you've removed an amenity from a listing in Vanio AI, it stays removed even after a sync pulls updated content from Airbnb.
When a sync finishes, the status chip on your account card updates automatically.
Understanding the Sync Status Chip
The chip next to your Airbnb account name tells you the outcome of the most recent sync. There are five states:

The Partial State โ What It Means
A Partial sync (shown in amber) means the sync ran but couldn't finish everything. This is not a sign that data was lost on Airbnb โ it usually means Airbnb temporarily limited how much information could be retrieved in one session.
Hover over or tap the amber chip to see a tooltip explaining exactly what happened. You might see messages like:
- "Airbnb limited how much we could pull in this sync. Nothing was lost on Airbnb โ run the sync again in a few minutes."
- "14 of 20 properties were updated; 6 could not be pulled in and are missing."
- "Prices and availability could not be refreshed for 3 of 20 properties."
- "5 unlisted or unpublished properties were skipped โ turn on 'Include Unlisted Properties' in Sync Options to bring them in."
Each message tells you what wasn't completed and โ where relevant โ what to do next.
The Rate Limited State โ What It Means
A Rate limited sync (also shown in amber) means a sync is actively running right now, but Airbnb is temporarily limiting how fast Vanio AI can retrieve your data. The sync is not stuck โ it is slowing down and retrying automatically, and will complete on its own in a few extra minutes.
Hover over or tap the amber chip to see a tooltip with the current progress, for example:
- "Airbnb is limiting how fast we can pull your data. This sync is still running โ it is slowing down and retrying, and will take a few minutes longer. Pressing Sync again will not speed it up."
The most important thing to know: pressing Sync again will not help, and may slow things down further. Let the running sync finish.
What Happens If You Press Sync While One Is Already Running
If you press Sync while a sync is already in progress for that account, Vanio AI will not start a second, competing sync. Instead, you'll see a message telling you what the current sync is already doing, for example:
- "A sync is already running for this account. Let it finish โ starting another one makes Airbnb slow us down further."
The account card will also refresh to show you the latest status of the running sync. There is nothing more you need to do.
Connection Health Alerts
Syncing your calendar, pricing, and availability requires Vanio AI to be able to read your Airbnb account. If that ability is ever interrupted โ because of an expired login, a delisted property, or a permissions issue โ Vanio AI will now send an alert to your team's Slack workspace rather than failing silently.
What triggers an alert
An alert is sent when Vanio AI detects that it can no longer read an Airbnb connection. Each alert identifies the specific reason, because the right next step is different in each case:

What the alert tells you
Each alert includes:
- What went wrong โ one of the four categories above, in plain language.
- Which listings are affected โ how many live, sync-enabled listings sit behind the connection that's no longer readable.
- What to do โ specific next steps for your situation, tailored to the type of problem detected.
- A reminder about inbound reservations โ see the important note below.
If the standing backlog of unreadable connections includes live listings that haven't been resolved, Vanio AI will send a follow-up reminder after several days so the issue doesn't go quietly stale.
Important: losing read access is not the same as losing your channel
When Vanio AI can no longer read your Airbnb calendar or pricing, it loses the ability to verify your availability and rates. It does not necessarily mean Airbnb has stopped sending you reservations.
Inbound bookings may still arrive even when calendar sync is broken. If your listing is active on Airbnb, guests can still book it โ those reservations will still flow into Vanio AI. What you lose is Vanio AI's ability to confirm that your calendar, pricing, and availability are accurate.
Alerts describe what Vanio AI can no longer verify โ they do not mean your Airbnb channel is fully down. Always check your Airbnb host dashboard directly before telling guests or co-hosts that a channel is unavailable.
How to reconnect an expired Airbnb account
If you receive an alert about an expired login:
- Go to Settings in the left-hand navigation menu.
- Under Apps & Integrations, select Airbnb.
- Find the affected Airbnb account โ it will show a warning indicator.
- Click Re-connect on that account's row and follow the prompts to log in to Airbnb again.
- Once reconnected, Vanio AI will resume reading your calendar, pricing, and availability on the next scheduled sync.

Note: Reconnecting restores Vanio AI's ability to read your account. Any reservations that arrived during the outage will already be in Vanio AI โ you don't need to re-import them.

Per-property failure detail โ The tooltip specifies how many properties were affected, so you know whether it's a minor issue (1 of 50) or something worth investigating (50 of 50).

Tips & Best Practices

If you see Rate limited, wait it out. The sync is still running and will finish on its own. Pressing Sync again will not speed it up โ it signals to Airbnb that even more data is being requested, which can slow your account down further. Give it a few extra minutes.

After a Partial sync, wait a few minutes then re-run. If the tooltip mentions Airbnb rate limits, this is the right move. Click the Sync button on the account card and the missing data will usually come through on the next pass.

Don't click sync repeatedly in quick succession. If a sync is already in progress or Airbnb has temporarily limited requests, running multiple syncs back-to-back won't help and may delay recovery. Vanio AI will block duplicate syncs automatically, but one re-sync after a short wait is always the most effective approach.

Check the tooltip before reaching out to support. The message in the tooltip is specific and actionable. In most partial-sync or rate-limited cases, the fix is waiting a few minutes and running a single re-sync.

Enable 'Include Unlisted Properties' if you need them. If your tooltip mentions skipped unlisted properties and you want those in Vanio AI, go to your Airbnb account's Sync Options and toggle on Include Unlisted Properties before your next sync.

Expect the first sync to take the longest. The initial import brings in your full history. Subsequent syncs are faster because they only fetch what's changed.

Remove amenities in Vanio AI, not just on Airbnb. If there's an amenity you don't want advertised to guests, switch it off on your listing's amenity page in Vanio AI. That choice will now survive every future sync โ even if Airbnb still lists it on their side.

Act on connection health alerts promptly. If you receive a Slack alert about an unreadable Airbnb connection, check which type it is before taking action. An expired login needs you to reconnect your account; a delisted property needs you to check whether it's still active on Airbnb; a permissions or credential problem is one to pass to Vanio AI support. Don't wait โ live listings behind a broken connection may still be taking bookings that you can't verify.

Common Questions
My syncs used to fail immediately or get stuck at the very beginning. Is that fixed?
Yes. There was a bug that caused Airbnb listing imports to fail instantly for all accounts โ the sync would appear to start and then stop at 0% with no explanation. This has been fixed. Your syncs will now run to completion, and you'll see real progress reflected in the status chip as the import works through your listings.
Why does my chip show Rate limited? Is something wrong?
No โ this is informational, not an error. It means a sync is actively running for your account, but Airbnb is temporarily slowing down how fast data can be retrieved. Vanio AI automatically adjusts the pace and keeps retrying. The sync will complete on its own, just a few minutes later than usual. You don't need to do anything. If you press Sync while the chip shows Rate limited, you'll see a message confirming the sync is already running rather than a new one being started.
Why does my sync show Partial when it used to always show Completed?
Previously, a sync that ran into problems (like Airbnb rate limits or missing listings) could still display a green Completed chip โ even if data was missing. We've improved the status reporting so the chip now accurately reflects what happened. A Partial result isn't new behaviour; it's honest reporting of something that was always occurring in the background. Hover over the chip to see what was affected.
My tooltip says Airbnb limited the sync. Will I lose any bookings?
No. A rate limit means Airbnb temporarily restricted how much data could be retrieved in one session โ nothing on Airbnb itself is changed or deleted. All your bookings, listings, and pricing remain exactly as they are on Airbnb. Wait a few minutes and run the sync again; the missing data will come through.
I pressed Sync and got a message saying a sync is already running. What should I do?
Nothing โ that's the right outcome. Vanio AI detected that a sync was already in progress for your account and prevented a second one from starting alongside it. Check the status chip on the account card; it will show you what the running sync is currently doing. Wait for it to finish, then press Sync again if you still need a fresh pull.
Some of my properties aren't appearing even after a successful sync. What should I check?
First, hover over the sync chip โ if it's amber, the tooltip may explain that certain properties were skipped. If properties are unlisted or unpublished on Airbnb, they're filtered out by default. Go to Sync Options on the account card and enable Include Unlisted Properties to bring them in. If the chip is green and properties are still missing, check that they're active on your Airbnb host dashboard and try running a manual sync.
I removed an amenity from a listing, but it keeps coming back after a sync. Is that fixed?
Yes. This was a bug where pulling updated content from Airbnb โ either through a manual "Pull from Airbnb" or an automatic background sync โ would restore amenities you had deliberately removed. Your choices are now preserved: if you switch an amenity off in Vanio AI, it will stay off across all future syncs. If you notice an amenity still reappearing, try removing it once more โ the fix is now in place and it should remain off going forward.
I'm seeing the same amenity listed twice on my listing page. Is that a known issue?
This has been fixed. Previously, some amenities could appear as duplicate entries on your listing's amenity checklist โ for example, "Dishes & silverware" showing up twice. Each amenity now appears exactly once, and toggling it on or off reliably controls how it's advertised to guests. If you still see duplicates after the update, try refreshing the page.
I received a Slack alert saying Vanio AI can't read my Airbnb connection. What does that mean?
It means Vanio AI has lost the ability to read your calendar, pricing, or availability from Airbnb โ but it does not necessarily mean your Airbnb channel has stopped working entirely. Inbound bookings may still be arriving even while this read access is broken. The alert will tell you which type of problem was detected: an expired login, a delisted property, a permissions issue, or a credential problem. I got an alert about an expired login. How do I fix it?
Open Apps & Integrations โ Airbnb from the left sidebar. The account that needs attention shows a Re-connect button on its row โ that button only appears when Airbnb has actually revoked or expired the authorization, so if you don't see it, the connection is fine. Click it and sign in to Airbnb again to grant Vanio AI access. Once reconnected, calendar and pricing sync will resume on the next scheduled run. Any reservations that arrived during the interruption will already be in Vanio AI.
I got an alert about a delisted property. Do I need to do anything?
Check your Airbnb host dashboard to confirm whether the listing is still active. If it's been reinstated on Airbnb, you can relink it in Vanio AI. If the property is no longer active and won't be relisted, retire or archive it in Vanio AI so it's no longer included in sync checks. If you're not sure what happened on the Airbnb side, contact Airbnb support first, then reach out to Vanio AI support if the listing needs to be relinked.
I got an alert about a permissions problem or a credential problem. Is that my fault?
Not necessarily โ and that's exactly why the alert specifies which type of problem it is. Permissions and credential issues are often caused by a platform-level configuration mismatch rather than anything you've done.
